Administrative Coordinator, Creative ArtsDepartment: Creative ArtsLocation: Metropolitan Campus Reports To: Interim Dean, Creative Arts Recruitment Type: External/Internal Requisition ID: req5609 Employment Type: Full-Time Support Staff Union Position: Non-Union Work Schedule: M-F, 8:30am-5:00pmNumber of Openings: 1 Job Description: SUMMARYProvides administrative support to theCreative Arts division.DUTIES AND RESPONSIBILITIES
  • Provides overall administrative support to the department or to an executive level administrator.
  • Researches, organizes, evaluates and implements all operational procedures for the department.
  • Monitors and reviews budgets and oversees the preparation of related documents.
  • May gather and input purchase orders and Budget Change Requests.
  • May manage supervisor's calendar and schedule appointments.
  • May prepare correspondence, form letter, requisitions, lists and tables.
  • May arrange travel plans and itineraries, compile documents for travel-related meetings and monitor budgets.
  • May monitor faculty workloads and transmit adjustment to the Scheduler.
  • May work with Program Coordinators and Program Managers to coordinate course schedules.
  • May monitor faculty Professional Improvement Travel funds.
  • Provides support to committees/councils and special projects.
  • Researches and collects data to complete reports and projects.
  • Helps formulate the annual planning process and documents.
  • Lends assistance to guests, students and staff.
  • Completes College forms and documents.
  • Schedules meetings and prepares meeting materials.
  • Coordinates routine activities.
  • Attends administrative meetings and takes meeting notes, as required.
  • Uses appropriate software to prepare correspondence, as required.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Determines the proper disposition of inter-office and external mail.
  • Establishes and maintains an efficient filing system.
  • May supervise part-time clerical staff, Work-Study students and student assistants.
  • Performs other related duties as assigned
REQUIRED QUALIFICATIONSEDUCATION AND EXPERIENCE/TRAINING
  • High school diploma/GED and 30 semester hours/48 quarter hours at the college level
  • Minimum of two years of experience in providing administrative or clerical support
  • Extensive knowledge of the daily operations of an executive office
KNOWLEDGE, SKILLS and ABILITIES
  • Skills in keyboarding, basic grammar, basic math, basic level word processing (MS Word) and basic level spreadsheet applications (MS Excel)
  • Strong organizational, time management, follow-up and analytical skills
  • Excellent interpersonal, verbal and written communication skills
  • Accuracy and attention to detailsAbility to multi-task in a fast-paced environment
  • Sensitivity to respond appropriately to the needs of a diverse population
PREFERRED QUALIFICATIONS(Or equivalent job-related experience providing the necessary knowledge, skill, andabilities to perform the functions of this position proficiently)EDUCATION AND EXPERIENCE/TRAINING
  • Associate's Degree
KNOWLEDGE, SKILLS and ABILITIES
  • Extensive knowledge of the performing arts

  • Provides administrative assistance to the Executive Director of Performing Arts and Music Programs
  • Manages Box office and ticketing functions for all Tri-C performances and events
  • Provides front-of-house assistance as needed at all Tri-C performances and events
  • Plans and implements artist hospitality and event facilitation as needed
  • Provides administrative support to Creative Arts academic and non-credit programs, including phone and front desk coverage and direct student assistance
  • Performs other related duties as assigned
Special Note: Target Starting Salary Range: $44,850 to $47,150 The final offer for the successful candidate is targeted to fall within this range but will be based upon an assessment of internal equity, the unit's available budget, and the candidate's qualifications in relation to the minimum and/or preferred job requirement(s).Special Instructions to Applicants: During the application process, you may be required to attach a cover letter and/or resume.
