Founded in 2007, City University of New York (CUNY) Accelerated Study in Associate Programs (ASAP) is a comprehensive associate degree completion program that currently serves 25,000 students annually at nine CUNY colleges, including The College of Staten Island. ASAP|ACE provides comprehensive and personalized supports and resources to students that remove barriers to full-time study, support academic momentum, and build a connected community. ASAP has proven to be one of CUNY's most successful initiatives, with students in the program graduating at a rate more than double that of similar students. ASAP has been rigorously evaluated and garnered national recognition, winning the 2020 Innovations in American Government Award from the Ash Center for Democratic Governance and Innovation at Harvard University's John F. Reporting to the ASAP|ACE Director, the Administrative Coordinator will provide administrative and operations support in a fast-paced work environment and:

+ Provides front desk and administrative support to engage program participants and applicants

+ Maintains current information about College programs and program requirements to supportASAP|ACE students and potential applicants

+ Conducts follow-up outreach with students from the inquiry stage to registration

+ Updates the programs' database with student and program data to support recruitment and advising operations

+ Organizes and maintains a variety of program records and files including marketing and promotional materials

+ Participates in recruitment programs such as open house sessions, direct recruiting, and program outreach efforts

+ Provides referrals to other College departments as needed to further assist students/applicants

+ Serves as a frontline ambassador to students, the public, and the university community on informational matters

+ Supports student engagement events including orientation, Institute, graduation, etc.

+ Conducts and supports recruitment and administrative activities.

+ Other duties as assigned.

QUALIFICATIONS

Bachelor's Degree required.

Preferred Qualifications

The preferred candidate will have:

+ 2-years of experience working in higher education or with linguistically, culturally and academically diverse students

+ At least one-year experience providing administrative support in an education, public service or other related professional setting

+ Strong organizational skills with the ability to manage multiple assignments, establish priorities, and meet deadlines

+ Ability to organize, prioritize, and coordinate day-to-day projects and assignments with attention to detail

+ Outstanding oral, written, and inter-personal communication skills and comfort working with staff at all levels

+ Ability to work collaboratively and independently on multiple related projects in a student-centered, times-sensitive environment

+ Excellent problem solving and data management skills

+ Strong computer skillsand knowledge of standard office software programs and applications(Microsoft Office required) experience with PeopleSoft/Oracle preferred

+ Proficiency using email/calendaring programs

+ Understanding of the organization of public higher education systems and interest in issues facing urban associate degree-seeking students a plus

+ Flexibility to work evening and weekend hours when necessary

CUNY TITLE OVERVIEW

Supports projects, initiatives, and activities that impact an academic or administrative department.

* Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

* Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

* Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

* Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

* Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

* Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

* May supervise office staff and student workers.

* Performs related duties as assigned.
