Job Description:

A global, energy industry organization is looking for a Quality Assurance Administrative Coordinator to provide administrative support. Reporting to the Global Quality Assurance Team Leader, the new member will drive operational efficiency, cost-effectiveness, and world-class quality by effectively implementing quality assurance processes while upholding values of integrity, excellence, innovation, and collaboration.

Salary + Additional Benefits:

  • $48,000-$50,000
  • 35 hours/week + hybrid schedule

Location: Houston, TX

Type of Position: Temp-to-Hire

Responsibilities:

  • Undertake own duties with little supervision, contributing to own and team targets and objectives in line with delivering against stated business goals from the annual business plan.
  • Contribute to the planning of the activities associated to the role and calendar management to ensure focus on priorities.
  • Contribute to the effective and reliable planning of initial visits and the annual site visit schedule of approved organizations.
  • Provide updates and review of progress against annual business objectives to the Quality Assurance Manager.
  • Accountable for monitoring and reporting on budgets allocated to approved Centers for monitoring visits.
  • Accountable for planning visits, including coordinating centers and consultants, including dates, travel, and paperwork.
  • Organize region Centre Forums/ Industry Forums.
  • Assist the Strategic Development team as and when required.
  • Undertake special projects as appropriate and fulfil other duties as may reasonably be required by the company, in line with the incumbent's skills, knowledge, abilities, and personal development opportunities.
  • Assist with the development and execution plan for the introduction of revised and/or new processes, systems, etc.
  • Provide effective response to relevant communications from internal staff and external stakeholders.
  • Responsible for reliable administration of appropriate invoicing and expenses.
  • Responsible for implementation as required, of the Organizations QMS.
  • Deal with initial approval requests/enquiries and procedural matters.
  • Serve as a focal point for all Centre operational queries.
  • Arrange travel and accommodation for function staff.
  • Schedule and communicate ongoing and initial visits, including the required logistics.
  • Conduct and log administration tasks to ensure compliance with the company ISO 9001 approved QMS.

Requirements:

  • High school diploma with at least 3 years of experience
  • Demonstrably effective secretarial and administrative skills
  • Experience of working in an office environment
  • Fluent in Spanish and/or Portuguese, and able to read, write, and speak professionally is required
  • Proven IT skills, including MS Office
  • Understanding of the Organization's key business drivers from an operational perspective
  • Understanding of the Oil and Gas Industry
  • Excellent organization and communication skills, including listening and delivery of basic level IT training
  • Excellent understanding of the company Quality Management System (QMS)
  • Demonstrable team working skills
  • Excellent understanding of budgeting, invoicing, and processing expenses
  • Ability to assist Quality Assurance Manager with forecasting, managing, and reporting on relevant budgets
  • Occasional travel within the US
