This role supports a dynamic team committed to engaging diverse youth audiences across North Dakota. As the Administrative Coordinator, you will manage critical platforms (4-H Online, UltraCamp, FairEntry) and assist with statewide program and event needs. This role fosters collaboration between the state 4-H office and Extension agents, ensuring the smooth execution of operations.

Primary Responsibilities:

* Lead office support for the following platforms:

* 4-H Online (enrollment management)

* UltraCamp (camp management)

* FairEntry (fair management)

* Provide administrative assistance to the department chair and state 4-H specialists.

* Coordinate and deliver trainings on 4-H platforms, club management, and other key elements of the ND 4-H Program.

* Manage volunteer screening, 4-H Club Chartering, and state insurance re-enrollment processes.

* Support North Dakota State Fair operations and assist with 4-H Policy Committee initiatives.

* Supervise and assign tasks to work-study students.

* Develop, edit, and manage educational materials and data for reports.

* Ensure effective file management, storage, and oversee key office support functions.

* Schedule staff meetings and maintain meeting notes.

* Provide support to state Extension offices as needed, including troubleshooting platform issues and responding to inquiries from staff, volunteers, and stakeholders.

Work Schedule:

Monday through Friday, 8 a.m. to 5 p.m. This is a full-time with a minimum of 40 hours per week, 12-month non-tenure track position within NDSU Extension, entailing occasional evening and weekend commitments. Instead of accruing overtime, extended hours are flexed into time off. Statewide travel is required. Overnight trips will also be required on occasion for meeting, activities, training, and professional development. This role operates under the supervision of the 4-H Youth Development Assistant Director. This position will be housed within the state 4-H office, conveniently situated on the NDSU campus in Fargo, specifically in the Family Life Center (FLC) building, room 219.

Advertised Salary:

$45,000 + ; to commensurate upon experience.

Minimum Qualifications:

* Associate's Degree, two years of college, or 3 years of previous experience. Degree emphasis in Business, Office Management, Secretarial Studies, People Management, or a related field is preferred.

* At least 3 years of related work experience in office operations/support in a multi-staffed office or business environment. Demonstrated ability to move projects from start to finish.

* Intermediate to advanced capabilities in using various computer equipment and application software supported by the university, including Microsoft Office Suite (Word, Excel, TEAMS, PowerPoint, Outlook), as well as ZOOM and other computer interface tools/applications/resources.

* Beginner to intermediate knowledge and experience with social media platforms.

* Proficiency in using office equipment such as copy machines and large networked printers.

* Strong public speaking, listening, and writing skills that ensure quality and professional customer service.

* Strong organizational and prioritization skills, attention to detail, strategic thinking, and the ability to plan ahead.

* Ability to network across departments and establish relationships within the university system and across Extension.

* Resolve differences constructively using tact, courtesy, respect, and diplomacy.

* Ability to handle confidential information appropriately.

* Effective time management and follow-through communication.

* Ability to lift 10 to 40 pounds on various occasions.

* Possess a valid driver's license.

Preferred Qualifications:

* At least 5 years of related work experience in office operations/support in a multi-staffed office or business environment. Demonstrated ability to move projects from start to finish.

* 4-H Online, UltraCamp, and Fair Entry experience.

* Basic understanding of the Cooperative Extension System and the land-grant university mission and structure.

* Experience in using organizational and logistical skills to lead, organize, implement, manage, and market diverse tasks, events, and activities with high attention to detail.

* Proven experience in planning and managing events, ensuring all logistical aspects are handled efficiently.

* Demonstrated ability to take initiative and lead projects, working independently with minimal supervision while effectively prioritizing workloads to meet deadlines.

* Ability to adapt to changing environments and handle multiple tasks simultaneously in a fast-paced setting.
