Job Summary:Are you an administrative professional with a passion for organization and detail? If so, this is the perfect job for you!We are looking for a hardworking and enthusiastic Administrative Coordinator to support both our People Team and Operations Team.Your role as an Administrative Coordinator will be far from one-dimensional. You'll undertake a wide range of HR tasks: onboarding and new hire orientation, administering employee benefits and leave, and assisting with payroll. You will use Human Resources Information Systems to ensure all employee records are up-to-date and confidential. You will also assist the CFO with various reporting responsibilities and work at the front desk.Duties and Responsibilities:People Operations Team (65%):
- Coordinate the onboarding process for new hires, ensuring that all required documentation is accurately completed and submitted.
- Verify the completeness of new hire paperwork, including employment contracts, tax forms, and benefit enrollment.
- Assist with new hire orientations, highlighting company policies, code of conduct, and compliance expectations.
- Assist in the administration of HR programs, including performance evaluations and benefits enrollment.
- Prepare documentation as required for funders to document compliance with all requirements.
- Review benefit invoices and submit to Finance.
- Assist in annual employee clearance renewal process; follow up with staff, file documents, prepare reports.
- Generate actionable HR reports and compile data on staffing, turnover, background checks, clearances, compliance metrics, and other People Operations metrics.
Operations Support: (35%)
- Serve as receptionist, directing telephone calls, welcoming visitors, sorting mail, accepting packages, etc. (about 10 hours a week though this may vary)
- Under the direction of the CFO, prepare and submit deliverables for funders and licensure in a timely manner.
- Coordinate with Programs, Operations, People Operations, and Finance to obtain appropriate documents.
Qualifications:
- Associates or Bachelor's Degree preferred; or High School Diploma or GED with related experience required
- A minimum of 1 year of related experience.
- Demonstrated proficiency in using a personal computer, including knowledge and skill in the use of the Windows operating system and pertinent software applications such as:
- Microsoft Excel
- Microsoft Word
- Outlook
- Online payroll software, ADP preferred.
- Excellent written and verbal communication skills
- Ability to work effectively and efficiently in a fast-paced environment.
- Adept at efficient multi-tasking while maintaining a high-quality work product, with a collected and positive attitude.
- Proven ability to interact with a wide variety of stakeholders, including clients, vendors, donors, management, and staff in a welcoming and professional way.
- A high degree of integrity, accountability, and flexibility.
- Ability to exercise good judgement in a variety of settings, and able to handle a wide variety of activities and confidential matters with discretion.
