Job Description:The Post-Bac Premedical Program Coordinator serves as the departmental frontline representative for all inquiries regarding the PBPM, via email, telephone, or in person. The Program Coordinator provides administrative support to the PBPM Director and Assistant Director, updates PBPM webpages and informational documents, interfaces with admissions platforms, prepares applicant files for admissions committee review, arranges application interview visits, coordinates post-bac students' course schedules, exams, and classrooms, and provides administrative services supporting post-bacs' medical school application process. To ensure the smooth functioning of the PBPM, the Program Coordinator interfaces with numerous College departments such as the Registrar, Financial Aid, IT, Controller, Payroll, Communications, Faculty, Facilities, Public Safety, and Events.
Essential Job Functions:25 % A. Interact in a professional and helpful manner with the Director, Assistant Director, Teaching Fellow, Faculty, PBPM students, applicants, and the Goucher community. Respond to common program inquiries by email or telephone, with warmth, timeliness, and accuracy. Participate in special projects (such preserving the PBPM history) and coordinate special events (such as our final celebration/graduation).25 % B. Support program applications throughout admissions process: coordinate admissions cycle with PostBacCAS; screen and assess applicant files prior to admissions committee meetings; maintain interview calendar; correspond with interviewees; coordinate interviews, student meetups, and class visits. Update informational documents for interviewees. Liaise with financial aid and graduate billing as needed. Provide information to incoming students before matriculation.15 % C. PBPM office management: schedule meetings, exams and classrooms, order office supplies, process reimbursements, handle maintenance orders, reserve rooms, provide logistical support for events, such as catering for Orientation and Graduation. Set up student evaluations at end of each semester through Canvas and Microsoft Forms; with the latter, compile and distribute to relevant parties.15 % D. Information management: Be comfortable with learning and regularly using technology such as PowerCampus, Workday, Access, Slate, Canvas, PostBacCAS, AMCAS. Submit website updates as needed, and update electronic documents, including packets for orientation and for prospective students.10 % E. Assist alumni during medical school application process by supporting the preparation of medical school recommendation letters and transmitting through appropriate channels, with attention to deadlines.10 % F. Interface as needed with College departments such as the Registrar, Financial Aid, IT, Controller, Communications, Facilities, Payroll, Public Safety, Student Health Center, CNS faculty, and Events.
Education:Required: Associate degreePreferred: Bachelor's degree
Professional Experience: Required: Professional administrative experience in a busy office setting. Preferred: Minimum of two years administrative experience in higher education and knowledge of the medical school application process.
Other Skills, Abilities, Qualifications: Ability to maintain confidentiality in all instances. Ability to interact effectively with faculty, staff, students, and prospective students.
