Administrative Executive Coordinator

POSITION DETAILS

The Office of Internal Audit and Management Services assists the University through the performance of compliance and quality assurance appraisals towards ensuring that the University's resources are safeguarded against loss due to waste, fraud, or abuse; ensures the University's compliance with applicable laws and regulations; coordinates and prepares responses to Federal, State and City audits of programs administered by the University and its institutions; and participates in special investigations of alleged irregularities or improper practices and assists in any subsequent adjudication. The Office of Internal Audit and Management Services reports to the Office of VC for Risk, Audit and Compliance.

Reporting to the Associate Vice Chancellor for Audit, the Administrative Executive Coordinator will also support the Executive Director for the Office of Internal Audit and Management Services. In that role, the Coordinator will maintain the Executive calendars, schedule appointments, and perform other administrative duties. The role will also participate in internal control exercises, assist with internal control trainings and assist Senior Auditors by performing procedures integral to internal audits and tasks essential to complex internal control exercises.

Other executive administrative duties include but not limited to the following:

* Support the executive daily schedules, and track calendars

* Coordinate meetings for the Executive Director of Internal Audit and Associate Vice Chancellor for Audit

* Support and tracks office expenditures, process procurement transactions and reconciliations.

* Maintain, update, and summarize purchasing file for fiscal year

* Proxy of Procurement card for University Executive Directive of Internal Audit

* Assist with planning and implementing department projects

* Assist with Action Plan Status Tracker for the department

* Participate in NYC Comptroller's Directive #1 internal control self-assessment

* Assist Senior Auditors on internal audits of Accounts Payable Advisory AP28 audit review, Internal Control Day annual training, and Medgar Evers - DOD Veterans Audit remediation report

* Other duties as assigned.

Note: Until further notice, this position is eligible for a hybrid work schedule.

QUALIFICATIONS

Bachelor's Degree required.

Preferred Qualifications:

+ Experience with maintaining executive calendars, scheduling appointments and other administrative duties.

+ Knowledge of performing internal control exercises and assisting with in internal audits and tasks is a plus.

+ Knowledge of tracking and processing office expenditures and procurement transactions and reconciliations is a plus.

+ Effective interpersonal, written and oral communications skills.

* Maintains extensive files and records for the unit.

* Maintains accurate calendars, schedules, and key dates.

* Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

* Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

* Provides clear communications on the Executive's behalf both within and outside the unit.

* May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

Salary is $60,394.
