Job Title: Administrative Manager/Executive Assistant
Location: Anaheim Hills, Orange County
Compensation: $100,000-$125,000 + bonus and excellent benefits
Overview:
We are seeking a hands on Administrative Manager to oversee an entertainment related family office located in Orange County. This role requires strong organizational, communication and leadership skills to effectively oversee a team of ten Executive Assistants. The ideal candidate will have a roll up your sleeves work ethic and will play a crucial role in ensuring efficient office management while fostering a productive work environment. Must be flexible to work off hours.
Qualifications and experience
- Bachelor's degree required
- 5+ years of experience
- Excellent verbal and written communication skills
- Meticulous attention to detail and ability to effectively execute on multiple project schedules simultaneously while managing your own time
- Demonstrated ability to work well in a fast-paced environment with changing responsibilities
- High degree of emotional intelligence and self-awareness
- Strong technological proficiency in Microsoft Office; Google suite. Comfortable using a Mac and learning new technologies
- Solutions oriented with good judgment. Strong ability to troubleshoot and solve problems accurately and in a timely manner with minimal oversight
Responsibilities
- Proactively anticipate the CEO's requirements and ensure all necessary work materials are readily available for productive workdays and weeks.
- Manage the CEO's inbox and handle email correspondence.
- Maintain and coordinate multiple calendars, compiling daily, weekly, and travel schedules as necessary.
- Supervise and coordinate the activities of other administrative and support personnel, both in-home and office settings, to support the CEO and maintain organizational efficiency, ensuring the timely and accurate completion of work and projects.
- Extensive travel arrangements.
- Issue daily and weekly reminders as required.
- Fulfill personal tasks and errands as needed (occasional).
- Serve as a point of contact between the CEO and various business guests, agents, managers, and other high-profile individuals.
- Assist with special projects, conduct research, and compile information as requested.
- Maintain up-to-date personnel and client lists.
Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google suite
- Ability to remain calm, focused, and professional under pressure
- Strong interpersonal skills and ability to communicate effectively with diverse audiences
- Proactive approach to problem-solving and task management
- Experience in managing confidential information with discretion
