Camp Administrative ManagerJob DescriptionReports to: Camp Director & Associate DirectorAcademy Camps is an overnight sports-specific sleepaway camp experience that takes place on the campuses Blair Academy (NJ) and Suffield Academy (CT). We are seeking an Administrative Manager to be a member of our camp leadership team and coaching staff.Who we areAcademy Camps is a modern approach to the sports camp experience. We offer 1- and 2-week sessions for Boys & Girls aged 10 - 15 interested in baseball, basketball, field hockey, football, golf, lacrosse, running, soccer, softball, squash, swimming, tennis & volleyball. Our campers choose one of our 13 Academy Sports and receive 2 intensive training sessions per day with our high-performance coaching staff.We are a dedicated team of high performance coaches, nurturing & exemplary counselors, and experienced camp professionals, passionate about the 'whole athlete'. Outside of sports specific training sessions, AC is distinguished in delivering programming focused on its pillars of Performance, Wellness, Mindset, and Leadership mixed in with a healthy dose of fun through a daily schedule of traditional sleepaway camp activities.PositionAs a member of the AC Leadership Team, the Camp Admin Manager will be responsible for ensuring a smooth operation and exceptional camp results for all campers, staff, and parents. This individual will coordinate, plan, and execute various administrative projects from the Camp Office and will engage primarily with camp staff and parents. This role requires a combination of strong communication skills, administrative/project-management skills, as well as an emotionally intelligent approach to customer service.KEY RESPONSIBILITIES:
- Phone & Email Management - Take full ownership of managing inbound phone calls and emails from parents and staff, ensuring inquiries and concerns are addressed with empathy, efficiency, and compassion. Escalate to the appropriate member on the leadership team when necessary.
- Parent Request Management - Oversee the processing and coordination of parent requests throughout the camp session, ensuring that all needs are met and addressed in a timely manner to maintain a high level of customer service.
- Staff & Camper Forms Management - Manage the process for all necessary staff and camper forms ensuring that all paperwork is completed, filed, and easily accessible for both pre-camp preparations and during-camp operations.
- Office Management - Lead the organization and daily operations of the Camp Office, ensuring smooth communication flow between individuals, proper supply management, and efficient office procedures.
- Site-Specific Communications - Coordinate and execute all internal and external communications specific to each camp location, ensuring alignment with Academy Camps' policies and maintaining effective, clear channels of communication.
- Transportation Coordination - Take charge of coordinating transportation for camper arrivals, departures, and any off-site activities, ensuring all logistics are executed smoothly and on schedule.
- Accreditation Management - Assist the Leadership Team with maintaining and managing accreditation standards in collaboration with other leadership team members, ensuring that all camp activities comply with regulations and best practices.
- Expense Reconciliation - Oversee and manage the reconciliation of all camp expenses, ensuring accurate tracking of spending and alignment with the camp's financial policies and procedures.
Your Knowledge, Skills, and Abilities
- 3+ years experience in a professional setting (in an administrative or project-based capacity, preferred)
- A creative problem-solver with a keen attention to detail
- Proficient in project management concepts and tools
- Self-motivated, strong organizational skills and demonstrated ability to juggle multiple priorities at once
- Empathetic approach to customer service and parent communication
- An excellent relationship builder - quick to connect, build trust, and rapport

Expectations, Compensation, and Benefits
- Available and on-site for the dates of the full summer session including staff pre-season training and post-camp: June 13 - August 3
- Pre-camp availability starting May 1 for onboarding, preparation, and select projects. Hours are part-time and flexible (i.e. limited to a couple hours per week at first and increasing as we get closer to camp.)
- The AC compensation package is competitive and is commensurate with skills and experience. Compensation for a full summer commitment is $5,000 - 7,000 and includes room and board. Travel stipend provided to support relocation.
- Reside on campus - room and board included on-site at both of our campuses with access to state-of-the-art athletic facilities, providing a seamless and immersive experience.
