This is an advanced professional position who will report to the Division Director and will be responsible for managing and coordinating operational and administrative duties in support of the Miami-Dade Community Action and Human Services Department. The incumbent in this position will be responsible for advanced administrative support for the Administrators of the Division and serves as a liaison to coordinate operational policy and procedures internally and externally. The incumbent in this position will be tasked with coordinating, monitoring, and overseeing the day-to-day administration of divisional operations to include calendar management, human resource liaison responsibilities, coordination of departmental events, overseeing performance measures and performance quality improvement tasks, reviewing grant opportunities for division director's approval, and following up on resident requests for assistance including communications from the public, various officials, departments, agencies, and employees. The incumbent in this position will be required to provide a high-level responsiveness to stakeholders, ensure the accuracy and completeness of reports, letters, e-mails, and memorandums. The incumbent in this position will be responsible for various department-wide data and statistical reports, expense reports, and various tracking logs that will require a high level of attention to details.
This position will function as the primary point of contact for the division to include scheduling meetings, creating agendas, meeting minutes, and handling follow-up items. This position entails providing a wide range of internal support services for the ongoing operation of the Older Adults and Individuals with Disabilities Services Division. The incumbent in this position will be required to provide administrative support for all grants awarded through the Alliance for Aging, state, and federal governments. This position will be required to assist with administrative support of grants to ensure contractual specifications and compliance criteria are met and support development and submittal of reports required by the grant agreement.
