Administrative Officer (Div) Requisition ID req31040 Working Title Administrative Officer (Div) Position Grade 13 Position Summary The Vice President and Diversity, Equity & Inclusion (DEI) Executive Officer is seeking a professional and dynamic individual to fill the position of Administrative Officer. The UNM Health Sciences Center (HSC) Office for DEI (OfDEI; is committed to building a diverse, equitable, and inclusive environment through shared vision and responsibility. The UNM Health Sciences Vice President and Diversity, Equity & Inclusion Executive Officer provides leadership to conceptualize, define, develop, assess, nurture and cultivate diversity, inclusion and equity as both a Health Sciences and UNM Health Systems institutional identity and resource resulting in widespread educational benefits and measurable health and healthcare value for New Mexico. The UNM HSC OfDEI is committed to growing New Mexico's diverse health care and STEM H workforce and increasing access and success in education for our students; all in partnership with UNM, families, students, and communities across New Mexico. The person hired to fill this Administrative Officer position directly reports to the UNM Health Sciences Vice President for Diversity, Equity & Inclusion and will be the primary point of contact for both internal and external constituencies on any matter directed to the Vice President and will research and prioritize incoming issues to propose appropriate course of action, referral, and/or response. The Administrative Officer will directly assist on a variety of special projects with institutional and/or community impact including the following: LGBTQ DEI, Leadership & Faculty DEI, Community Initiatives, Community Wellness, ENLACE NM, the STEM-H Center, Communities to Careers, the New Mexico Workforce Diversity Center of Excellence, and work with our dedicated and invaluable OfDEI team and many partners. This role researches, prioritizes, and follows-up on multiple issues and concerns addressed to the Vice President, including those of a sensitive and/or confidential nature; configures and manages databases, compiles and prepares reports for internal leadership and external entities; creates and/or maintains systems for organization of information and data related to matters of the Vice President; and produces a range of complex, well-written educational, informational, and promotional presentations, and other materials for the Vice President. This position may be required to work nights and weekends as needed.
Required: Resume Upload Cover Letter Upload (cover letter MUST address how applicant meets the preferred qualifications) Duties and Responsibilities: Provides assistance and support to the Vice President in problem solving, presentation preparation, project planning and management, and development and execution of stated goals and objectives in relation to special projects and initiatives of the office. Oversees the planning and coordination of key special events for the Vice President. Serves as a point of initial contact on matters directed to the Vice President. Researches and prioritizes incoming issues and proposes appropriate course of action, referral, and/or response. Screens, evaluates, and determines potential response to written correspondence received by the Vice President. Coordinates the day-to-day activities of the Vice President to include detailed calendar of events to include all meetings and activities requiring attention and follow-up, scheduling, travel, and prioritizing assignments. Reviews and approves financial transactions, as assigned, and advises the office principal on appropriate disposition. Organizes and facilitates meetings, conferences, and other special events. Prepare, draft, edit and format documents such as agenda items, meeting minutes, letters and presentations. Coordinates and attends committee meetings, and participates in committee discussions, as appropriate. Provides assistance in the understanding and interpretation of University policies and procedures, as appropriate, and ensures that office operations are in compliance with policy provisions and standards. Handles confidential issues. Schedule travel. Maintains harmonious, courteous, and understanding relationships, while fostering a collaborative teamwork environment. Minimum Qualifications High school diploma or GED; at least 7 years of experience related to the duties and responsibilities specified, of which at least 2 should be directly related to managing at least one of the functional areas of fiscal services, administration and/or human resources. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. - Prior experience providing high-level support to leadership.
- Exceptional interpersonal and communication skills, written and verbal.
- Ability to effectively interact with members of executive and senior leadership, faculty, staff, community leaders, governmental bodies, and funding agencies.
- Exceptional organizational and prioritization skills.
- Project management experience.
- Ability to synthesize substantial amounts of information and produce concise and comprehensive reports and presentations.
- A demonstrated commitment to diversity, equity, inclusion.
- Understanding of the climate and culture of New Mexico and the UNM HSC.
- Works with multiple technologies such as Zoom, Microsoft 365 (Outlook, PowerPoint, Excel), and Smartsheets.
- Experience working with teams.
- Fluency in languages commonly used in New Mexico, other than English.
