The individual will oversee administrative tasks, schedule, plan and coordinate details for all graduate and professional recruitment events, coordinate calendars, engage in communication with prospective students, and handle various projects and assignments as assigned by the Executive Directors. This person is entrusted with sensitive information, demanding a high level of confidentiality and mature decision-making skills.Required Education
- Bachelor's degree or equivalent education and experience.
Required Experience
- One to three years of administrative assistant experience.
- Experience at a higher education institution preferred.
Primary Duties/Essential Functions
- Serves as the primary support to multiple Executive Directors in preparing all paperwork, forms and responding to requests and correspondence.
- Schedules, plans and coordinates all admissions events (both in person and virtual). This includes communication with faculty/departments to schedule and run events, scheduling of events in Slate, planning of communication with the Slate team, coordinating involvement of admissions representatives, scheduling of campus facilities and amenities for in person events, additional publicity for events and event follow up. It will also include the creation and handling of contracts for events as necessary.
- Answers and directs in-coming phone calls, including the careful handling of student concerns, greeting students, and visitors.
- Maintains quantity log for promotional items. Researches and orders promotional items for graduate and professional admissions.
- Provides reports, research, and other tasks as needed by the Executive Directors.
- Organizes and maintains administrative functions for the Graduate & Professional Admissions office.
- Manages multiple calendars and schedules events and meetings.
- Coordinates and manages special program events as requested.
- Assists the Executive Directors in management and monitoring of the budget.
- Prepares and reconciles expense reports and process purchase requisitions.
- Assists in travel arrangements and conference accommodations as needed.
- Collaborates with various offices on campus to ensure clear communication related to Graduate & Professional admissions.
- Communicates with prospective students regarding upcoming events, services, etc.
- Regular, punctual attendance as required by the supervisor based on department needs.

- Other related duties as assigned by the Executive Directors.
Skills
- Proficiency in Microsoft Office products, including Word and Excel.
- Type 55 wpm.
- Understand business office procedures.
- Excellent oral and written communication skills with good command of the English language. Ability to compose, proofread, and edit correspondence.
- Proficient in taking minutes in various meetings.
- Strong organizational, problem solving, interpersonal interaction and bookkeeping skills.
- Able to provide exceptional customer service with a positive gracious spirit.

Compensation
- Grade 8: $21.44 to $24.66 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
