Job Description:

The Phillips Center for Research in Translational and Developmental Affective Neuroscience at WPH Department of Psychiatry is adding an Administrative Program Coord to our group. Led by Dr. Phillips, our lab is comprised of a talented group of psychiatry faculty, postdoctoral associates, students, and staff, all dedicated to better understanding the neural circuitry underlying mood, substance and anxiety disorders using multimodal imaging techniques. The Department of Psychiatry has established a new Center for Neural Circuit-Based Technology Interventions in Psychiatry (CNCTI-P), which will be led by Dr. Phillips. The goal of the CNCTI-P is to use our growing understanding of the neural circuit-level abnormalities and associated biological mechanisms underlying major psychiatric disorders to facilitate the development of pathophysiologically guided, new technology-based, targeted treatments that will advance the precision medicine approach in psychiatry.

The Administrative Program Coord will provide high-level administrative support by including clerical work, preparing correspondence, receiving visitors, onboarding Center staff, students and post-doctoral scholars. The incumbent work directly with Dr. Phillips to assist with start-up activities and growth of the Center for Neural Circuit-Based Technology Interventions. The candidate will assist Dr. Phillips with all administrative matters related to running the Center, applying for new funding, travel, CV updates, and organization of conferences and science meetings. The Administrative Program Coord will supervise one Administrative staff member.

**Responsibilities:**

+ Demonstrate excellent written and verbal communication skills

+ Prepare documentation, reports: Compose and edit correspondence, independently write reports

+ Assist/orient new faculty and staff

+ Maintain files

+ Provide leadership, supervision, and problem solve for Center staff

+ Coordinate/organize administrative activities and functions across Center programs

+ Assist with effective day-to-day operation of project operations

+ Provide support/assistance to staff and leaders as needed

+ Screen, interview, and assist individual programs in hiring support staff as needed

+ Manage schedules for administration

+ Assist leadership to obtain funding and prepare annual reports

+ Track completion and timely submission of required progress reports, grant applications and other reports as required by the funding agency

+ Maintain social media presence of the Center providing updates to research activities, publications and outreach to the research community as needed

+ Organize, develop, edit, and distribute newsletter and other publications

+ Assist with recruitment, reappointment, assignment of clinical faculty and post-doctoral scholars

+ Coordinate/organize documentation for annual performance evaluations

+ Attend and provide minutes for operations, faculty, and other meetings as requested

+ Assist and track development of Center funding opportunities

+ At least a Bachelor's degree.

+ A minimum of 3 years of strong administrative experience.

+ Supervisory experience preferred.

+ Ability to get along with others and engage.

+ Excellent organizational, writing and communication skills.

+ Computer skills including knowledge of Access, Excel and experience with word processing (Microsoft Word).

+ Proficiency in core MS Office applications, including Word, Excel, PowerPoint, and Outlook preferred.

+ Excellent calendar management skills, including the coordination of complex meetings.

+ Experience with Human subject research, IRB and Psychiatry is preferred.

**Licensure, Certifications, and Clearances:**

+ Act 34 with renewal
