The Office of the State Treasurer (OST) is the state agency that serves as the bank for Washington State government. OST manages hundreds of billions of dollars annually in cash flow for state government, including most state deposits, withdrawals, and transfers. Opportunity:
The Office of the State Treasurer (OST) is seeking a motivated and experienced administrative professional to join our Administrative Support team. The goal of the team approach is to provide cross-over support to the executive team, our agency divisions, and our customers. This position is one of four administrative support positions within the office and will provide primary support to the Chief Operating Officer.
Manage and Maintain Confidentiality
* Handle and protect privileged, confidential, or sensitive information, including employee relations issues and official documents
* When requested, maintain meeting notes and prepare/edit official documents for the elected office
Executive Support: Communication, Scheduling and Correspondence Management
* Oversee and manage the COO's email, calendar, voicemail, and correspondence
* Prepare and review business communications, ensuring accuracy before obtaining the COO's signature
* Assess incoming oral communications, summarize information, and make recommendations to the COO
* Review talking points for the COO's speaking engagements, identifying errors or issues
* Manage records in accordance with state and agency guidelines and provide records management support to the COO
Special Projects Coordination/Management
* Coordinate and manage high-profile or confidential special projects for the COO, collaborating with staff and divisions. Research and analyze information for presentation in various formats
* Represent or accompany the COO at meetings, including off-site ones as needed
* Inform the COO of action items, deadlines, priorities, and relevant business issues
* Communicate with internal staff, other agencies, professional organizations, and the public on behalf of the COO
* Research and respond to concerns and inquiries from stakeholders and office staff
* Perform administrative research and data analysis for agency programs and activities
Travel and Expense Management
* Research and book facilities, accommodations, and transportation for travel
* Track travel advances, prepare travel itineraries, vouchers, and expense reports, ensure compliance with state rules, and submit travel reimbursement forms
Front office Reception Support
* Provide backup support for office reception
* Ensuring communication with the public and other agency visitors/guests to include government officials and legislative leaders shows our commitment to being a welcoming, transparent, and professional organization
* Main lobby coverage
* Answering the main phone line
* Open/Close lobby doors
* WATreas email box
* Office site scheduled maintenance
* Card key needs
* Office furniture needs
* Parking needs
* Provide backup support for vault manager
* Provides backup support to the executive assistant for the State Finance Committee and Public Deposit Commission meetings
* Performs other duties as required
Five years of progressively responsible experience in administrative support
Two years of experience supporting upper-level managers, including managing calendars, scheduling appointments/meetings and working in a fast-paced environment
Advanced knowledge of word processing, spreadsheet, email, and database software programs
Working knowledge of administrative procedures and office methods
Experience establishing priorities, tracking projects, establishing deadlines, attending to details, and pursing quality in accomplishing tasks while holding staff accountable for assigned work
Desired Qualifications:
Experience with reading, understanding and interpreting policies and procedures
Experience with managing a records system, reviewing schedules for compliance with legal requirements and coordinating transfer, storage, retention, disposition and/or archiving of records

Position information, Hours of work & Location: The OST takes pride in being a family-friendly and healthy work environment. The OST operates on a standard work week of Monday through Friday with the core business hours of 8:00 am to 5:00 pm. The duty station for this position is in Olympia, Washington, with the physical location being in the Legislative Building on the Capitol Campus.
OST work schedules are determined by position requirements. This position is required to work in the office a minimum of five (5) days per week with opportunities for schedule flexibility around the required in office hours of 10 am to 2 pm.
Salary and Benefits: The annual salary range for this position is $78,000.00 to $92,000.00. Washington State offers a competitive benefits package.
