Position Summary
The position performs administrative duties for Planning Division, Cultural and Heritage Commission, County Agriculture Development Board and GIS Office. These duties include general office work and answering phone calls and directing callers to appropriate personnel and assisting clients and other visitors. The position serves as the timekeeper for the office and records and maintains staff's use of benefit time as well managing all financial documents received as part of land development applications. The Administrative Assistant I performs the duties of the Office Manager during their absence.
Essential Functions
* Provides administrative support to ensure efficient office operations.
* Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
* Creates and maintains physical and digital filing systems.
* Collates and distributes mail.
* Inputs and updates information in databases and spreadsheets.
* Maintains Land Development review receipts and maintains ledgers.
* Records benefit time used by staff on a daily basis and completes timekeeping reports in Vista.
* Uses word processing and presentation software to create and edit documents.
* Prepares meeting agendas and takes meeting minutes.
* Operates and maintains office equipment, including printers, copiers, and fax machines.
* Performs other duties as assigned by the Director of Engineering and Planning and the Director of Planning.
Essential Qualifications
Position requires a high school diploma and 2-3 years of administrative assistance experience. Familiarity with standard office platforms, such as Microsoft Office. Data management and entry skills, including the ability to accurately maintain and improve filing systems. Presents a positive and professional image for the organization. Interpersonal skills, professional and courteous demeanor, excellent office and phone etiquette, and the ability to diffuse tense situations.
Preferred Qualifications
Knowledge of County Government structure, policies, and procedures. Use of Human Resources (Vista) and Financial Management software programs (MSI).
