Open to the Public: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* A bachelor's degree and two years of professional experience providing administrative and staff support to executives, program managers and staff, boards, or commissions by overseeing budget, human resources, and business services activities for an organization or program. This position may be designated 55 b/c and is subject to verification of applicant eligibility. Duties Description The primary responsibility of this position will be to provide a higher level of direct administrative support to the agency's Chief of Medical Services and the Bureau of Health Services. Secondarily, this position will be involved in assisting the Chief of Medical Services and the Director of Nursing with the Bureau's policy revision and development. Additional duties include, but are not limited to: communicating Bureau/project-wide information, deliverables and activities to internal and external partners; providing executive-level meeting support including scheduling, agenda preparation, recording and action item follow-up for specific Bureau initiatives; developing, maintaining and updating administrative forms, policy and/or office procedures for the Bureau; coordinating travel authorizations for the Chief of Medical Services and Bureau management; preparing email, routine correspondence, memos and reports; and, maintaining confidentiality regarding sensitive matters, such as personnel and labor relations issues and contact with external groups. The Bureau of Health Services is entrusted with providing oversight and compliance monitoring of all medical and nutrition needs for all nine juvenile justice facilities. Being able to handle multiple assignments and priorities is crucial to the Bureau being able to complete its critical tasks and functions which address the health and safety youth in care. The Bureau is also responsible for ensuring compliance with American Correctional Association (ACA) Standards for Juvenile Correctional Facilities and relevant OCFS DJJOY policies. Additional Comments *For the duration of the NY HELPS Program, this title may be filled via a non- competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
