Job Description:
Job Description Full-time, 40 hours per week, 5 days per week. Daily work hours work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m. The position will have an appointment through June 30, 2025. This position pays $19.59/hour, or applicable transfer rate. General Support to the School of Nursing
  • Assist in updating School of Nursing website(s) & publication of events
  • Assist in grant support as needed
  • Upload meeting minutes from faculty huddles to School of Nursing internal website
  • Schedule faculty and department-related meetings and update room reservation requests (e.g Dunn 115, 214, and 217).
  • Assist with coordinating and organizing SON events
  • Assist faculty with the logistics and room reservations for the Pinning Ceremony
  • Manage and maintain undergraduate student files
  • Answer main telephone line and email address
Support for Director and Associate Director
  • Assists with tracking undergraduate student progression and numbers (include variables sickness, major injury)
  • Assists in verification of course and clinical faculty assignments and classroom scheduling using Infosilem with the Associate Director
  • Delegates printing and other material requests to appropriate work-study students
  • Request a report at the end of each semester from the Dean's Office for student data: athletes, honors, GPA (omicron-zi), and internal/external transfers.
  • Ensure the academic progression tracking spreadsheet is up-to-date.
  • Upload student progression letters into Maxient and place hard copies in student file
  • Upload student appeal letters and responses into Maxient and place hard copies in the student file.
  • Prepare CNA registry letters
  • Assists in facilitating and filing of academic standing letters
Support for Clinical Coordinator
  • Assist in student clinical course registrations as needed.
  • Assist with undergraduate immunization and annual document tracking
    • Will use Verified Credentials
      • Background Checks Verification
      • Immunization Compliance - BSN Verification
      • CPR Certification Verification
  • Assist with clinical placement management in Centralized Clinical Placement System (CCPS)
    • Partnership Requests
    • Clinical Placement Schedule
    • Clinical Ticket Verification
      • CCPS Unit Assignments
  • Assist in tracking clinical affiliate computer training requirements
    • Info Security Access and PromisePoint Education Training Request Sheets
      • Annual request for projected year
      • PromisePoint Verification
Support to Academic Advisors
  • Assist in processing academic forms
    • Add/drop paperwork
    • Degree progression exemptions
    • Change of major/minor
  • Assist in communicating and track any cohort changes and academic actions with the clinical and program coordinators

  • Typically has the education associated with 60 credits or more of higher education and three years of administrative support experience or an equivalent combination of education and experience.
  • Proficient in Microsoft Office
  • Excellent interpersonal, written, and verbal communication skills
  • Demonstrated proficiency in MS Office, Word, Excel and similar software packages
  • Willingness to learn new software applications is essential.
  • Demonstrated attention to detail in the accuracy of written material and email communications.
  • Demonstrated skill in confidentially handling a high volume of student and faculty requests for assistance.
  • Previous experience prioritizing and managing work assignments
  • Must be able to use office machines such as copiers, faxes, scanners, etc.
Preferred:
  • Knowledge of MaineStreet and Google Suit
