Summary of Job Duties:
The Administrative Specialist III is responsible for a wide variety of office management tasks, related to fiscal operations, data analysis, reporting, and the administration of multiple testing programs related to undergraduate and graduate admission, credentialing, and academic coursework. This position is governed by state and federal laws, and agency/institution policy.
Qualifications:
Required Education and/or Experience
* The formal education equivalent of a high school diploma plus one year of specialized training in business management, business education, or a related field; plus two years of experience in a specialized or a related field applicable to work performed.
Preferred Education and/or Experience
* Associate degree or the formal education equivalent;
* Minimum of one (1) year of experience in a professional office setting;
* Experience with Banner Student Information System (SIS) and Workday.
Job Duties and/or Responsibilities
Administrative Duties
* Answer the telephone, transfer calls, and record messages;
* Greet visitors in a positive and welcoming manner;
* Make and schedule appointments for facilities reservations and ensure all front desk activities are coordinated efficiently;
* Operate control desk and reception desk;
* Train control desk and reception desk extra help workers on office and campus procedures.
Inventory
* Gather and enter data for the institution's annual inventory;
* Process Marketing & Redistribution reports for items being removed from the department.
Test Administration and Processing
* Administer and/or assist with computer-based tests (CBT), such as the Accuplacer, College Level Examination Program (CLEP), Miller Analogies Test (MAT), Scantron, etc. as needed in the office or at another location;
* Receive required specialized training and approval from the national test company;
* Analyze Banner screens and entry of test results;
* Maintain testing security and confidentiality of student information;
* Monitor and administer SmartSync;
* Process RegisterBlast for accommodated, make-up, and other exams for students;
* Monitor and adjust the RegisterBlast calendar schedule for various exams and the Testing Services open hours;
* Process online testing submissions from professors;
* Process electronic score download for the Graduate Record Examinations (GRE) and other tests as made available;
* Process test assignments for non-UA Little Rock students and UA Little Rock students testing off-site.
Other Job Duties
* Perform data monitoring and management;
* Collect and enter assigned data in monthly reports;
* Review/update information for the Testing Services website as assigned;
* Scan and link documents with Banner and WebNow;
* Assist the Director of Testing Services as needed;
* Perform additional duties as assigned.
Knowledge, Skills, and Abilities
* Must have the ability to work occasional Saturday mornings;
* Ability to effectively operate and utilize a telephone, photocopier, and fax machine;
* Ability to communicate by effectively writing, listening, and speaking;
* Ability to plan, organize, and coordinate activities, resources, and materials
associated with the needs of the department;
* Knowledge of computer-based applications (Google Docs, Google Sheets, Microsoft Word, Microsoft Excel).
