Department of Energy (DOE) National Nuclear Security Administration (NNSA) Office of Secure Transportation (OST) Administrative Support Services Administrative Specialist Position Description - AOCC AMSG provides services in various areas including management and administrative support roles, project and budget analysis, document controls, federal payroll data entry, travel vouchers processing, technical editing/writing, purchase requests processing, and invoice tracking to a division under the Department of Energy. This Administrative Specialist Position is located in Amarillo, TX. The candidate for this position will be responsible for the performance of work assigned in the performance work standards as well, as performing at AMSG's high-quality expectations. The position is Monday through Friday 7am - 4 pm with the exception of Federal Holidays, and work schedules. Must be able to obtain and maintain a Level L clearance with DOE. Responsibilities Include:
  • Professional administrative tasks for the OST Assistant Deputy Administrator (ADA) and OST Senior Managers located in Amarillo, Texas.
  • Provide highly skilled administrative support to the AOCC Director and Federal Staff when available.
  • Provide administrative support which includes but is not limited to scheduling appointments, answering telephones, greeting visitors, preparing correspondence, scheduling meetings, processing mail, and distributing documents, along with other general office routine administrative tasks such as gathering information, preparing routine file documentation, and preparation of recurring and non-recurring reports.
  • Support inputting hours worked into appropriate DOE/NNSA/OST databases for federal staff and coordinating timesheet signatures as needed for Command Directors and OST Senior Managers in a backup role.
  • The Administrative Specialist will support the OST Human Reliability Program (HRP) in scheduling all HRP medical and psychological appointments, and medical assessments, and act as the primary POC with the ABQ health unit and other medical service providers.
  • Responsible for maintaining an accurate and up-to-date yearbook, recall roster, phone list, emergency contact list, and email listing.
  • Assist with the VA Benefit of GI Bill reimbursement for training.
  • Attend records management meetings and will assist in preparing the fiscal year closeout, including inventory checks and audits as needed.
  • Complete all visitor access forms and processing for site access to contractors.
  • Coordinate staff travel and the processing of travel vouchers and authorizations.
Travel - None Core Hours: - 0730 - 1600 Location - OST Central Command, Amarillo, Texas Other Tasks:
  • Administrative Specialists will provide backup coverage for team members, including Financial Specialists located at AOCC.
