We Care of Central Florida (non-profit organization) is a well-established referral network, that provides uninsured Polk County residents with FREE access to specialty health care services, labs, diagnostics, breast care services, vision care services, durable medical equipment, and transportation via Uber Health. Are you a versatile and adaptable administrative professional seeking a dynamic role that allows you to contribute your diverse skills across various departments? If so, we have an exciting opportunity for you as a floating Administrative Specialist at We Care of Central Florida. In this role, you will be able to work across different departments, providing support and assistance wherever needed, playing a crucial role in supporting this mission and making a significant difference in the lives of those we serve. As an Administrative Specialist, you will be a crucial member of our team. Your primary responsibility will be to transition smoothly between different functions, lend your expertise, and help ensure the smooth operation of the organization. You will have the opportunity to engage in a variety of tasks, from covering shifts for absent employees to assisting with special projects and providing support within departments experiencing workload spikes. This variety will keep you engaged and excited about the potential challenges and opportunities. This position REQUIRES intermediate administrative skills in coordination and accomplishment of a broad range of administrative support tasks. KEY RESPONSIBILITIES Produce documents for correspondence, reports, and memos. Create and update spreadsheets and databases. Manage and maintain electronic filing systems to ensure efficient retrieval of documents and compliance with record-keeping policies. Provide customer service, answering phone calls and responding to inquiries, directing questions to the appropriate staff member as needed. Be highly organized and capable of creating organizational systems that others efficiently utilize. Process and prepare documents, such as business or government forms, ensuring accuracy and adherence to policies with minimal errors. Conduct client eligibility interviews and determine eligibility based on policies and procedures. Operate office equipment, including printers, copiers, and computers. Provides administrative support for audits. Manage incoming and outgoing correspondence, including mail, email, and faxes, and distribute to appropriate parties in a timely manner. Demonstrate the ability to quickly learn and adapt to new tasks, processes, and systems. Offer a fresh perspective and creative problem-solving skills to help optimize workflows and enhance efficiency. Assist with special projects or initiatives as needed, showcasing your versatility and adaptability. Maintain a positive and professional demeanor while working collaboratively with cross-functional teams. REQUIRED - QUALIFICATIONS/SKILLS/ATTRIBUTES Intermediate knowledge of Microsoft Office Suite, including Word, PowerPoint, and Excel. Intermediate knowledge of business email services, such as Microsoft Outlook. Intermediate knowledge of standard office equipment, such as modern phone systems, fax machines, and copy machines. Comfort with multitasking and handling multiple requests from different individuals and departments. Ability to work quickly and in a potentially high-stress environment. Strong communication skills and highly self-motivated. Excellent interpersonal skills, including the ability to interact effectively with a diverse variety of people in a multicultural setting. Ability to work onsite and independently in a team mode within an interruption-driven environment. Discretion in handling confidential information. PREFERRED - QUALIFICATIONS/SKILLS/ATTRIBUTES Knowledge of and/or experience in the public health sector with an understanding of the health system in Polk County, including the grant and funding landscape. EDUCATION High school diploma or equivalent; and a MINIMUM of two years of relevant experience; or a combination of education and experience. LICENSE/CERTIFICATION Must have a valid driver's license and reliable use of a personal vehicle.
