Job Summary:
The School of Education is a unique school made up of ten diverse academic departments, three major research units, and many outreach and support units, all known for their dedication to high- quality outcomes and their desire to positively impact our world. Reporting to the School of Education's Chief Financial Officer, the Administrative Specialist will support the Chief Financial Officer with general administrative tasks and support the CFO and Business Office leaders in the areas of initiative coordination and implementation, and policy development and management for the administrative functions under the purview of the Chief Financial Officer. This position will work collaboratively with other members of the Business Office, and all academic, administrative and research support departments in the School. Areas that report to the CFO include budget and financial management, human resources, research administration, facilities, and core operational information technology. The Administrative Specialist should be committed to diversity, equity, inclusion, and accessibility with regard to administrative project activities.
Candidates must demonstrate skills in administrative support functions (i.e., scheduling, drafting communications and presentations, creating meetings agendas, and facilitating team functions). Candidates should be well versed in Microsoft products and demonstrate the ability to learn website maintenance skills. Successful candidates must be able to work collaboratively with multiple stakeholders at all levels of the organization. The ideal candidate will have strong verbal and written communication skills and the ability to convey complex information to broad audiences. The candidate must also have the ability to independently manage multiple tasks with varying deadlines.
Responsibilities:
Responsible for a variety of professional level work across a variety of administrative service areas including budget, finance, procurement, and human resources with impact across the institution in support of unit or institutional goals.
* 20% Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies
* 30% Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success
* 20% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s)
* 5% Assists, recommends, and advises staff on unit or program administrative issues, personnel matters, and budgetary problems
* 15% Serves on committees and attends meetings, representing the interests of the unit or program
* 10% Work with Business Office team to manage Business Office websites and make updates as needed. Serve as team's website expert

Qualifications:
Experience Required:
* Three (3) years of progressively more responsible work experience in administrative support and coordination roles.
* Experience in planning and coordinating calendars, meetings and activities
* Experience with Microsoft Office Products for the formatting, communication and storage of complex documents. Software knowledge and expertise of Windows, Word, Microsoft, Excel and PowerPoint, Adobe, electronic forms, World Wide Web, etc.
Knowledge, Skills and Abilities Required:
* Ability to effectively plan and organize the implementation of assignments involving coordination of people within and outside the organization
* Excellent oral and written communication skills with strong attention to detail
* Ability to maintain confidentiality.
* Ability to work independently as well as function effectively in a team and within a diverse group of people.
* Strong work ethic, commitment to seeing tasks through to completion.
* Knowledge of and ability to use university web-based system tools, google apps and the internet to improve efficiency and communication.
* Ability to problem solve and respond to or refer questions to appropriate persons.
