Job Description:

LPA is seeking a passionate Administrative Specialist to join our integrated team of architects, engineers, interior designers, landscape architects and master planners. Our Dallas studio is continuing to grow, and you'll have the opportunity to be a central part of our expansion. You will have the opportunity to collaborate with team members across studios on projects that are both local and across Texas and California.   • Receive and direct visitors and clients
  • Manage general office area
  • General clerical duties including photocopying, mailing; opening, sorting, organizing and distributing incoming correspondence
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Coordinate and maintain records for staff, their travel, and parking as needed
  • Fielding telephone calls, word processing, creating spreadsheets and presentations, and filing
  • Arrange and schedule travel for staff company-wide
  • Help moderate firmwide meetings via Microsoft Teams
  • Coordinate client and office events throughout the year
  • Coordinating catering and food for events, meetings etc.
  • Assist with portions of the submittal, RFI, pay applications and other processes specifically related to design, quality assurance and construction on our projects
  • Assist in client relationship management activities, engagement tracking, contact lists, prospects, etc.
  • Assist PMs with projects set ups and other tasks in Dynamics software
  • Assist PMs with AHJ submissions and submissions to other regulatory agencies such as TDLR/TAS
  • Assist Principals and managing Directors with tracking and managing marketing activities and engagements and research assistance through web searches, CoStar and other databases

Administrative Specialist Requirements:
  • Above average skills in the Microsoft Office Suite
  • Expertise in Microsoft Teams
  • Ability to learn processes related specifically to design and construction related processes of the office
  • Ability to multitask and focus on various responsibilities at any given time
  • Experience in providing administrative support to management and technical staff
  • Enthusiastic commitment to the multidisciplinary design process and team environment
  • Strong written and verbal communication skills
  • Curious and open minded to learn and assume increased responsibilities
