Department Summary
The Office of Advising Services promotes high-quality advising across UNT's advising units through coordination, training/ professional development, and leadership support. Our advising team offers pathways counseling to prospective and current students, and TSI advising. The office is located in the Academic Success Center at Sage Hall.
Position Overview
The Administrative Specialist under supervision from the Senior Admin Coordinator will support multiple teams and two physical spaces for the Office of Advising Services and Student Success. The position will be responsible for providing administrative support, and customer-oriented services to staff and students.
Minimum Qualifications
Associate's degree and three years' of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
* Exceptional customer service skills.
* Intermediate Microsoft Office skills.
* Knowledge of accounting/budgeting procedures.
* Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
* Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
* Ability to conceptualize, plan and organize multiple assignments effectively.
* Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
* Skill in developing and maintaining good working relationships.
* Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
* Knowledge of company or university building operations and communications
* Experience with managing day-to-day suite/reception operations and communications
* Skill in planning, implementing, and evaluating events, trainings, and workshops
* Experience with procurement processes, managing purchasing cards and reports
* Knowledge of company or university financial systems and reporting tools
Required License/Registration/Certifications
Job Duties:
* Provides support to the office/area while being a resource to assist with the resolution of various administrative matters.
* Responsible for travel and purchasing for the department. Orders and receives supplies and manages departmental inventory
* Composes a variety of materials including correspondence, reports, forms and meeting notes. Assists with the collection of data and analysis and the preparation of materials for meetings and conferences and provide assistance to the completion of reports.
* Supports the planning and implementation of events. Handles a variety of logistics including room scheduling, menu development, supply ordering, and timely delivery to stakeholders.
* Serve as a secondary manager to the student worker teams and assist with the hiring, training, and functional supervision.
