Posting DetailsPosition Information Position Title Administrative Specialist (TRIO SSS) Job Summary The Administrative Specialist will assist with the growth and development of all academic support services for the TRIO SSS and Student Success Office. The specialist will also help with other TRIO SSS and Student Success Department related responsibilities.Required Knowledge, Skills, and Abilities
  • Possesses strong organizational skills.
  • Demonstrates clear and effective written and verbal communication skills.
  • Provides strong customer service and inter-personal communication skills.
  • Ability to work independently. Ability to cooperatively work with diverse groups of students and staff.
  • Understanding of basic administrative processes and procedures.
  • Understanding of Microsoft Office Productivity Suite.
  • Understanding of basic computer operations and office equipment.
  • Demonstrates efficient keyboard and data entry accuracy and speed.
Required Qualifications
  • Associate Degree
  • Strong organizational & communication skills
  • Commitment to working with students from diverse backgrounds
  • Experience with record keeping

  • Bachelor's Degree
Physical Demands
  • Work is normally performed in a general office environment.
  • Work is conducted in a busy office environment with frequent interruption.

  • Prepare reports, disseminate information to participants, and assist with Annual Performance Report (APR).
  • Organized and maintained a confidential filing system and database on all participants and activities/services provided, handle project correspondence.
  • Assist in the implementation of participant follow-up, coding in Ellucian Colleague and Blumen.
  • Input participant data, records, and contact logs into Blumen.
  • Assist with planning and attending TRIO SSS college visits and events.
  • Assist directors in monitoring credit card purchases, expense statement, and other fiscal records.
  • Create Purchase Orders (PO) from credit card purchases and other vendor invoices.
  • Create and monitor program spreadsheets.
  • Assist with note taking and other event/service planning for student related services.
  • Prepare and support the monthly and quarterly reporting of budget accounts and related activities.
  • Oversee and document student emergency funding, including application processing, follow-up with students and vendors, purchasing necessary items, and managing all related aspects of the funding source.
  • Contribute to the development, planning, and implementation of activities, events, and workshops.
  • Assist with programs and services designed to increase persistence and degree attainment among program participants.
  • Assist with TRIO SSS Orientation in Fall and Spring Semester.
  • Attend TRIO and Student Success Office meetings and other campus meetings as a representative of TRIO SSS and Student Services.
  • Perform other duties and responsibilities as assigned by the Director of TRIO SSS and Director of Student Success.
  • Contribute to the development, planning, and implementation of activities, events, and workshops.
