Job Description:

The College of Science and Technology at North Carolina A&T State University invites applications for an Administrative Assistant position. The position reports to the dean. The Administrative Assistant will provide administrative support to faculty conducting research in the College of Science and Technology. This position requires knowledge of the office or work unit policies and procedures in order to communicate information involving programs, functions, and services. Position duties may include preparing documents and reports, proofreading documents, using office technology, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting visitors/clients/staff/others, and photocopying. To complete job duties/tasks daily, the outlined software will be utilized: Microsoft Office (Word, Excel, PowerPoint, Outlook), Banner Student, Banner Finance, AggieMart, Chrome River, ePAF, and InfoEd. Completing work often involves a public contact role to obtain, clarify, or provide information regarding the activities of the work unit or program. The position will serve as the primary staff assistant to a faculty group conducting research.

North Carolina Agricultural and Technical State University is an 1890 land-grant doctoral Research University dedicated to learning, discovery, and community engagement. The College of Science and Technology enrolls 2200 students. It is a national leader that serves and engages the citizens of the state of North Carolina, the nation, and the world through preeminence in science and technology education, research, discovery, and innovation. The College houses the departments of Applied Engineering Technology, Biology, Built Environment, Chemistry, Computer Systems Technology, Mathematics and Statistics, Physics, and the Ph.D. Program of Applied Science Technology. The College is experiencing substantial growth in enrollment, faculty size, curricula, and research.

Work Hours 8 am - 5 pm Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)

Key Responsibilities and Related Competencies

Required Competency Communication - Verbal/Written Duties

Responds to questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals or other staff. Responds to requests for program and procedural information. Contacts service recipients, vendors, or clients to provide or obtain information. Schedules and coordinates appointments, meetings and events. Communicates information to visitors, students, faculty, staff and administrators. Conveys information In writing or verbally. Greets visitors, answers, screens and triages telephone calls accordingly. Addresses and appropriately responds to inquiries.

Required Competency Office Technology Duties

Selects, understands and fully applies features of a variety of software programs, machines or office equipment that will produce the desired results. Preferred candidate will have experience with all MS Office products, AggieMart, Banner student and Banner finance, meeting scheduling software, Chrome River and others as needed.

Required Competency Information/Records Administration Duties

Records, compiles and summarizes data using established format. Compiles and organizes information from different sources to develop reports and data. Assist with creating budget revisions, keep accurate budget information for multiple researchers, create pre-approvals and expense reports in Chrome River. Enter ePAFs for student hiring at the direction of the researcher.

Understands programs and services to apply this knowledge in problem-solving and responding to most questions and inquiries. Uses program knowledge to interface with other offices and organizations.
