Job Description:
This position is in the proposal stage, and the offer is contingent on the contract award. Viable candidates will be screened. Location: San Antonio - Randolph, TXAbaco Strategy, LLC (Abaco) is an 8(a) Certified, HUBZone, Woman Owned, Small Business located in Leesburg, VA. The Administrative Assistant will provide workflow support for core program areas as prescribed by the Department of Defense (DoD) Policy, Department of the Air Force (DAF) Policy, and guidance. Qualifications: Minimum qualifications shall include a minimum of three years of experience in developing and executing administrative duties through a variety of platforms. The contractor shall be familiar with commonly accepted professional guidelines and formats and possess a minimum of an associate degree (administrative management/operations, communication, business writing, etc.) or equivalent work experience. Bachelor's degree is required. Requirements:
  • Participate and document meetings, conferences, etc.
  • Schedule and maintain a calendar of assigned meeting space for each division's meetings within the on-site facilities.
  • Maintain internal/external calendars (standard/regular courses, round tables, summits, meetings outside of DPFF/DPFC/DPFZ, etc.).
  • Collaborate with program managers and coordinate site visit agenda(s) with installation
  • Manage Microsoft Teams calendar, update new members, delete obsolete members, etc.
  • Assist with travel requirements.
  • Access and monitor AF Family Integrated Statistical Tracking (AFFIRST) System inputs.
  • Publish announcements in AFFIRST (approval through Branch/Division Chiefs).
  • Maintain and distribute org charts, as needed.
  • Organize, inventory, order, and create purchasing lists for office supplies and promotional items; ensure needs and product/item availability for all conferences/exhibits ahead of time; schedule pick-up arrangements, etc.
  • Coordinate with staff and installation M&FRCs on installation-level informational papers for Branch/Division Chiefs review.
  • Provide administrative and logistical support for the M&FRC Certification program.
  • Coordinate with the Program Manager to publish round tables/trainings for the year.
  • Format slides to ensure presentations meet Air Force Personnel Center (AFPC) requirements.
  • Enter/update measures of compliance in the FP-CMS system and Program Checklists for all identified DoDI and DAFI standards, review for grammatical errors, and receive concurrence from DPFF Program Managers (PM).
  • Correspond with the FP-CMS team and identify M&FRCs with troubleshooting and adding/removing program users.
  • Monitor Field User input in FP-CMS and notify Program Managers/Analysts as needed.
  • Monitor Certification timeline and ensure Program Managers/leadership meet timelines.
  • Ensure that the necessary equipment (projector, computer, hotspot, etc.) is available to conduct on-site visits/briefings.
  • Create/update information provided by the on-site team for installation of out-brief command presentations/reports in either paper format, electronic format, or both as required by supported staff within the prescribed time frame.
