Primary Purpose of Organizational Unit

The mission of the UNC Hussman School of Journalism and Media is to prepare students to ignite the public conversation in our state, the nation and the world, and to understand the role of communication in fostering democracy. The school offers bachelor's, master's and doctoral degrees, and administers a variety of professional development and distance-learning programs. Enrollment includes about 1,000 undergraduates and 130 graduate students in addition to professional development and distance education students. Position Summary

The temporary Administrative Support Specialist performs a range of administrative and facilities services in the Hussman School of Journalism and Media and its business office. The incumbent will perform general facilities management functions: serving as the school's primary liaison with the facilities, housekeeping, moving and surplus teams; coordinating office assignments and renovation projects; maintaining floor plans and space use occupancy systems; reviewing requests for ad-hoc room reservation requests, and overseeing building entry and access systems. Additionally, this position may serve as a floater providing temporary administrative support to various units across the school. The tasks may include processing incoming and outgoing mail/packages, meeting scheduling, travel and event coordination, monitoring and reconciling budgets, managing supply ordering and inventories; and preparing reports.

This position reports to the Associate Dean for Business and Finance and is 100% on-site.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Required Qualifications, Competencies, and Experience

* Accuracy; attention to detail; and excellent time-management, organization, project management, and prioritization skills.

* A demonstrated ability to adapt easily, follow through, complete tasks, resolve issues independently, and ask questions and/or escalate when needed.

* Working knowledge of Microsoft Word, Excel, and Outlook.

* Ability to present information in a clear and concise manner, both verbally and in writing.

* A commitment to teamwork, information sharing, collaboration, and providing exceptional customer service.

Preferred Qualifications, Competencies, and Experience

* Experience with managing Outlook calendars.

* Experience creating PowerPoint presentations.

* Experience managing facilities operations.

Special Physical/Mental Requirements

Ability to lift up to 20 pounds and regularly move/maneuver between and throughout campus buildings with or without reasonable accommodation.
