This is a full-time position and receives all benefits afforded to regular employees. Work schedule is 40 hours per week. Summary: This position is responsible for performing clerical/secretarial work associated with processing various information and documentation relating to the Building Permitting & Inspections Department.Essential Job Functions:
- Provides clerical and secretarial support for the Community Development Department.
- Performs reception functions; answers telephone calls and greets visitors; ascertain nature of business; directs callers/visitors to appropriate personnel, and records/relays messages.
- Performs customer service functions; provides information/assistance regarding department services, activities, procedures, fees, or other issues; distributes forms/documentation as requested; assists individuals in completing forms; responds to routine questions or complaints and initiates problem resolution.
- Receives money in payment of various fees/services; records transactions and issue receipts.
- Provides clerical support for building inspection functions; schedules building inspections; issues building permits, certificates of occupancy, and right-of-way permits; research flood zone information and determines whether property is in a flood zone; submits elevation certificates to insurance companies.
- Operates a computer to enter, retrieve, review or modify data. Performs data entry functions by keying data into computer; verifies accuracy of entered data and makes corrections.
- Assists in preparing for meetings, hearings, or other activities; reserves and sets up meeting rooms; assists in assembling packets and preparing packets for mailing; attends meetings and records minutes as needed; types/distributes meeting agendas and minutes; maintains official records. Types, prepares, or completes various forms, reports, correspondence, logs, schedules, calendars, notices, lists, agendas.
- Maintains file system of various files/records; prepares and sets up files; sorts/organizes documents to be filled; files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete documents.
- Performs general/clerical task, which may include making copies, sending/receiving faxes, or updating department manuals/documentation.
- Provides assistance or backup coverage to other employees or departments as needed. Performs notarization of documents as needed.
- Performs miscellaneous tasks associated with operations of the Community Development Department as needed; performs other related duties as required.
