This position is responsible for the efficient and orderly scheduling and registration of patients in an inpatient and outpatient setting. Ensures that all incoming telephone calls are promptly and courteously answered along with greeting customers in a professional and friendly manner. Processes all internal and external referrals. Verifies insurance information, posts charges, and collects payments in order to facilitate timely appointments and support the continuity of care. Reflects good public relations. The professional in this position reports to the Patient Access Manager. This position works closely with clinical professionals and other healthcare professionals in order to provide high quality services to all customers.This is a full-time position working 40 hrs per week.SPECIFIC ACCOUNTABILITIES (not limited to):
  • Ensure all incoming calls are promptly and courteously answered and customers are assisted in a friendly, professional manner. Customers presenting in person for appointment or other business are to be greeted in the same professional, accommodating approach.
  • Receives and documents referrals using EPIC referral tracking system, schedules care based on clinical protocols, and sends confirmation of scheduled services to the patient.
  • Responsible for the scheduling, pre-registration and registration of all patients in a considerate, accurate/efficient and timely manner. Ensures patient demographic information is accurate and complete; follows up with referring clinics and/or patients as needed to fill in missing or incorrect information.
  • Gathers additional medical records from other providers as needed to support medical necessity when obtaining a pre-authorization, and follows up with payers on pre-authorization requests as needed
  • Ensure all forms, letters of non-coverage, Medicare Advanced Beneficiary Notice (ABN), Medicare Secondary Payer (MSP) questionnaires, Consent to Treatment, initial Notice of Privacy Practice, and other required payer documentation are explained, fully completed, and signed by the patient.
  • Informs the patient whether the authorization for the referral has been approved and reviews the next steps of care with them, including providing appointment reminders.
  • Communicates liabilities directly to patients and provides education on key insurance terms and rules; may often handle patients with more complicated insurance plans (e.g., workers' compensation)
  • Accept payments from customers; understanding patient bills, diagnosis codes, and charges in order to accurately process the payment. Collect co-pays and maintain cash drawer to complete daily deposits alerting the Department Leader in the event of any discrepancy or concern.
  • Connects patients with financial counselors when further explanation or education is needed regarding payment plans or financial assistance; may conduct some basic financial counseling duties as necessary.
  • Responsible for routing all clinical scope of practice questions, faxes, and requests to the appropriate clinical staff member.
  • Obtain and disburse all incoming and outgoing mail.
  • Request supplies and/or minor equipment for maintaining the office.
  • Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of latest trends in field of expertise.
  • Ensures no injuries to self or others by following safe work practices and policies. This includes, but is not limited to:security and safety, understanding of MSDS, equipment, infection control, fire, disaster, safe lifting and body mechanics.
  • Ensures self-compliance with organization policies and procedures as well as labor agreements.
  • Ensures the interface with team members and other support groups is conducted in a courteous and efficient manner conducive with the organization's values.
  • Conducts self in a professional manner and ensures personal appearance meets the standards necessary to perform the job function while representing the organization.
  • Ensures that additional accountabilities, as may be required by management, be handled in a manner necessary to meet organizational standards.
POSITION QUALIFICATIONS (not limited to):
  • Education:
  • High school diploma or equivalent required.
    • Experience:
  • Minimum of two (2) years receptionist/secretarial experience required, preferably in a medical setting.
  • Computer experience to include MS Word, Excel and Internet skills required.
  • Admitting, Scheduling, or Billing experience preferred.
    • Skills/Competencies:
  • Knowledge of EPIC Electronic Health Records (EHR) System Preferred.
  • Excellent interpersonal, written and verbal communication skills.
  • Understanding of insurance, coding (ICD-10 and CPT) and medical terminology preferred.
  • Ability to maintain the highest level of confidentiality and integrity.
  • Ability to work independently and as a team.
  • Demonstrates competency on equipment listed on department specific checklist.
  • Critical thinking skills: Seeks resources for direction, when necessary. Performs independent problem solving. Decision-making is logical and deliberate.
  • Performs actions that demonstrate accountability. Exercises safe judgment in decision-making.Practices within legal and ethical guidelines.
  • Demonstrates competency in ability to care for customers/patients across the age continuum.
  • Basic Life Support Heartsaver (HS) level to be completed within three (3) months of hire
  • PHYSICAL REQUIREMENTS:
    • Occasional standing, walking, lifting, reaching, kneeling, bending, stooping, pushing and pulling. Light physical effort, ability to lift up to 10 lbs.
    • Manual dexterity.
    • Good reading eyesight; color vision - ability to distinguish and identify different colors.
    • Ability to communicate using verbal and/or written skills for accurate exchange of information with physicians, nurses, health care professionals, patients and/or family, and the public.
