The Advancement Coordinator works in close partnership with the advancement team toprovide administrative and logistical support for the advancement office; parent and alumnae volunteer management; and fundraising data management. Working with the Assistant Director of Advancement, this individual will assist in creating and maintaining fundraising data management protocols and maintaining database records for all constituencies.The school seeks a professional who is warm and hospitable; team-oriented and able to work independently; and has exceptional attention to detail.Key responsibilities include:
  • Manage the data-entry process on a timely basis to ensure accurate, updated and relevant information on donors and prospective donors
  • Provide support for advancement and alumnae programs and events including digital invitations, mail merges and mailing lists for annual fund solicitations, and personalized letters to donors
  • Ensure excellent customer service and volunteer support for parents, parents of alumnae, alumnae, friends, and grandparents
  • Produce reports, queries and exports from Raisers Edge NXT to gather accurate data for solicitations and stewardship efforts
  • Take an active role in executing reunion weekend event details with the Alumnae Director by managing the online alumnae event attendance platform and online registrations
  • Manage the annual list of all alumnae marriages, births, and deaths for publication in the alumnae magazine
  • Maintain constituent records and handle all changes and new entries, including annual roll-overs
  • Process advancement office invoices and expense reports ensuring accuracy and timeliness
  • Provide Raiser's Edge NXT support to other advancement staff
  • Perform other duties as assigned
QualificationsQualifications:
  • Bachelor's degree
  • 3-5 years in an educational, non-profit environment or a related field (preferred)
  • Experience in Catholic or independent schools preferred
  • Strong organizational skills and attention to detail and accuracy
  • Proficiency with Microsoft Office (particularly Excel) and Google Workspace tools
  • Experience in digital design media (Photoshop/Canva/InDesign/Illustrator) a plus
  • Prior experience with Raiser's Edge NXT or similar database is preferred
  • Ability to handle confidential materials and situations with discretion and sensitivity
  • Some evening and weekend work is required
