Please email cover letters to ...@hospiceoforange.comJob Summary: The Advancement Coordinator reports to the Director of Development and works with personnel across the organization, volunteers, vendors, and donors in support of all Advancement Department efforts, including, but not limited to, providing support to Marketing & Community Outreach, Fundraising, Special Events and departmental clerical and technical support. This position serves as the primary Database Administrator of the constituent database and as a front-line point of contact for the Advancement Department.Supervisory Responsibilities: This position will supervise volunteers, third-party vendor relationships, and interns, as applicable.Duties and Responsibilities:
Database Administrator- Responsible for constituent database, serves as key administrator for database and ensures integrity of CRM.
- Works in collaboration with and provides work direction to the Advancement Assistant.
- Enter all gifts in constituent database including gifts, pledges, and gifts-in-kind, and ensure acknowledgment letters are issued in a timely manner, including maintaining templates for various letter categories.
- Maintain individual constituent records and ensure that records are maintained accurately.
- Working closely with the Director of Development, Marketing Manager, and Chief Advancement Officer, maintain constituent attributes to ensure segmented marketing capabilities. Includes maintaining mailing lists for information distribution.
- Set up and run recurring reports needed for organization.
Financial- Responsible for financial reconciliation of funds entered daily, including daily credit card reconciliation.
- Prepare daily entries for deposit and run reports for reconciliation.
Front-line Point of Contact for Department- Assist in acquiring and retaining individual, corporate, and foundation constituents, through exceptional customer service in all interactions.
- Responsible for addressing and disseminating constituent questions and concerns.
- Respond to generic department email inquiries from contact us, marketing, info, and advancement email addresses.
Departmental Support- Provide Development, Volunteer, and Marketing Departments with administrative and event support, including attending fundraising and/or marketing events, when necessary.
- Responsible for ordering organizational collateral materials and keeping inventory of materials.
- Assist Chief Advancement Officer with administrative responsibilities including maintaining financial spreadsheets.
- Adhere to document retention policy and procedures.
- Assist with edits to website as necessary when applicable.
- Perform other duties as required by Director of Development, Marketing Manager, and Chief Advancement Officer.
Hybrid position: This office-based position can be flexed to remote; decision to be made in conjunction with reporting supervisor. Associate or bachelor's degree or equivalent work experience required. 3-4 years professional experience in a non-profit or exposure to development/fund raising a plus. Raiser's Edge NXT experience, or other donor database experience, required. Knowledge of fundraising practices and nonprofit principles. Knowledge of general accounting principles, business communications, and office procedures. Knowledge of social media management software and email marketing software preferred.
