Job Description:

Purpose: Responsible for managing all aspects of the donor database, including gift entry and acknowledgement, reporting, and donor demographics. Ensure timely and accurate processing of all donations. Serve as the first point of contact for the Advancement Department in order to provide friendly and accurate response to inquiries. Functions as a key member of the Advancement Team with individual responsibilities for fundraising activities and key support roles for major fundraising events, and other fundraising and marketing activities.

Job Summary: Responsible for providing support and service to the Advancement Department in a team environment. Serving as key support for major fundraising events. Assist with communication with donors, volunteers and the public through use of approved media and communication tools.

General Responsibilities:

  • System Administrator for organizations database. Engage in ongoing training to stay abreast of new updates and available tools. Train new users.
  • Records donations, create reports, and prepare acknowledgement letters and other correspondence.
  • Update and maintain department databases, mailing lists, telephone contact files, donor and prospect information.
  • Assist with data requirements of fundraising and event execution, including necessary reporting
  • Create monthly fundraising reports and other database reports as needed.
  • Work with finance department to accurately reconcile donations and assist with annual audit
  • Oversee the processing of In-Kind donations, including solicitation, data entry, and year end reporting for Finance.
  • Manage Volunteer Program for organization.
  • Manage organization Amazon Wish List.
  • Create, input, and manage event databases for all Events, including but not limited to: sponsorships, guest lists, pledges, and reporting.
  • Organizing and loading Silent Auction items into event database
  • Ensure smooth and efficient check-in and check-out process at all Events, working closely with Finance to reconcile transactions and invoices.
  • Ensure efficacy of fundraising initiatives including but not limited to United Way, Third Party Events, Linda's Cupboard, and Donation Drives.
  • Represent Hope Hall's brand in the community.
  • Serve as a support to the Advancement Team.
  • Assist with special projects and assignments as requested.
  • Ability to effectively communicate with internal and external constituencies, in a timely manner.
  • Other duties as assigned.

Job Qualifications:

  • Education: Associates Degree in related field
  • Experience: 3 years experience in Development or Marketing in non-profit preferred or equivalent combination of education and experience
  • Database Management: ability to correct and manage database
  • Working knowledge of Microsoft Office applications and Google Suite. Raiser's Edge Preferred.

Computer / Software Skills:

  • Microsoft Office: Knowledge in all applications
  • CRM experience required; Raiser's Edge preferred
  • Google Suite

Physical Demands:

  • Frequently required to sit, stand, walk and frequent stairs. Required to move about multi-level building using stairs.
  • Occasionally required to bend and/or lift (no more than 25 pounds).

Work Environment:

  • Educational setting; ability to work with students
