Job Description:Under the direction of the Associate Director for Gift Administration, the Advancement Services Operations Assistant is responsible for assisting with all stages of gift processing including collecting daily donations from multiple sources, determiningappropriate designations for each gift, and entering and committing gifts. The gift processing workflow includes gift collection, gift preparation, gift entry, gift review, receipting and acknowledgments, maintaining demographic and constituent records, and communicating with donors, staff, and campus partners. This position will also provide overall support to the Advancement Services Department to assist with record maintenance, data identification and acquisition, answering phones, document retention, and general assistance to ensure daily operations run smoothly.This position is responsible for understanding divisional fundraising priorities and solicitation/appeal calendars. As part of being an Advancement Services professional, this position will be required to learn a basic understanding of Internal Revenue Service guidelines for gift acceptance/eligibility and the gift acceptance policies for Goucher College.
Essential Job Functions: 40% A. Collect and sort daily donations from multiple sources, evaluate and determine gift designations, prepare and process daily gift batches adhering to Advancement's receipting/acknowledgment policies, reconcile batches with Slate (CRM), prepare batches for daily deposit, perform gift receipting, acknowledgment, and validation processes. Verify biographic and gift-related information.30% B. Provide support to all Advancement Services general operations, including data maintenance, research, documentation, and reporting and analytics. Create and update records as needed including but not limited to biographic, gift, event, and relationship details. 10% C. Develop and maintain procedures and documentation for stewarding gift collection for different gift types including but not limited to cash, checks, ACH, stock, gift-in-kinds, payroll, pledges, and planned gifts.10% D. Maintain, track, and respond to correspondence received through our advancement gifts email address from donors, gift officers, and campus partners while adhering to policies around gathering and sharing sensitive information.
Non-Essential Functions: 5% A. Coordinate and attend departmental meetings, participate in campus events hosted/administered by the Advancement Division, and participate in task force and campus workgroups (including, but not limited to search committees) as assigned.5% B. General office responsibilities include filing, answering phones, handling mail, and greeting guests. Maintaining open communication with peers and departmental colleagues. Other duties as assigned or as the need is identified.
Education:Required: High School DiplomaPreferred: Bachelor's degree
Professional Experience:Required: Two years of experience working in a relational database.Preferred: Experience with gift processing in a higher education or nonprofit fundraising environment. Slate CRM experience is a plus. Job Category:StaffPay Range:$17.00-$20.00
