GENERAL DESCRIPTION OF POSITION:

The Oregon Healthcare Workforce Institute (OHWI) at Pacific University seeks a project coordinator to implement the goals, objectives, and educational activities related to OHWI's grant-funded Area Health Education Center (OHWI AHEC). The AHEC Project Coordinator supports the AHEC Regional Director in meeting the requirements of the AHEC grant, providing educational services and programs to improve the supply, distribution, retention, and quality of primary care and other health professionals in medically underserved areas. Under minimal supervision and according to general directions and policies, this position is responsible for a wide range of activities, including but not limited to internal and external community outreach, assisting the planning and delivery of educational experiences, project management activities, data collection, record keeping, marketing and communication efforts, and other program and office functions under the purview of the AHEC Regional Director.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

This position requires a high degree of initiative, creative problem-solving skills, attention to detail, strong teamwork, and the ability to work independently.

* Ensures that programs and personal behaviors support the goals of diversity, equity, inclusion, sustainability, and community responsibility embedded in the AHEC Program and Pacific University's mission.

* Develop and maintain accurate record-keeping systems for documenting the progress of program activities and deliverables to ensure the achievement of milestones and objectives.

* Ensure program activities remain within budget allotments.

* Identify problems and work with team members to negotiate corrective action concerning programmatic issues.

* Prepare and deliver regular project updates and reports professionally and on time.

* Coordinate logistics for the successful delivery of project activities.

* Develop and disseminate content for newsletters, web content, emails, and guides.

SECONDARY FUNCTIONS:

* Helps to assure the overall success of AHEC Regional Center by performing all other duties in accordance with grant requirements and as assigned by the AHEC Regional Director.

The AHEC Project Coordinator will have additional responsibilities in operating and promoting OHWI's programs that complement the work of other staff and advance the organization's goals. In particular, the person in this position may:

* Attend staff meetings, participate in professional development activities, and collaborate with co-workers as a proactive team member.

* Support collaborative partnership-building activities as part of OHWI's project development and grants with partner organizations, individuals, and team members.

* Supervise student workers or interns.

* Assist with coordination of contracts with partner agencies, individuals, and organizations.

* Provide general support, including coordinating OHWI AHEC's Advisory Board meetings, budget maintenance, facilitating purchasing and invoicing, supporting travel arrangements, and other general logistics.

* Provide regular professional-quality updates to the organization's website and social media platforms.

* Develop and maintain a working knowledge of local and national healthcare and workforce trends.

* Assists with common office procedures. Office tasks may include, but are not limited to, processing mail, invoicing, and scheduling meetings.

* Willingly performs other position-related, assigned, or implied tasks and continuously explores ways to enhance the quality and efficiency of OHWI's programs, operations, and community relationships.

* Positively promote Pacific University, the OHWI, and OHWI AHEC.

JOB SCOPE:

The AHEC Project Coordinator will perform duties with guidance and minimal supervision from the Regional AHEC Center Director. The position entails supporting existing and new programs that may require decision making that aligns with the requirements of the AHEC grant and Pacific University policies. Adherence to federal AHEC policies and compliance requirements is critical. Errors in judgment could affect the smooth and efficient operation of the office and the achievement of contractual obligations of a federal grant.

SUPERVISOR RESPONSIBILITY:

This position does not supervise any full-time, permanent staff but may involve supervising or delegating tasks to student workers, interns, or co-workers.

Qualifications

EDUCATION AND/OR EXPERIENCE:

* Bachelor's degree or equivalent work experience.

* One year of experience in program or project management (or similar).

* Demonstrated experience working with people from diverse backgrounds.

* Experience with grant-funded operations.

* Experience in an office setting.

* Proficiency with Google Workspace or Microsoft Office, and other common productivity software.

* Bachelor's degree.

* Demonstrated ability to work collaboratively on project activities, including giving and receiving constructive feedback.

* Proficiency with project management activities, quality improvement, and curriculum development.

* Knowledge of healthcare workforce issues, workforce development, and healthcare training programs.

* Experience in healthcare and/or education preferred.

* Proficiency with social media platforms and professional software such as Adobe, Google Workspace, Qualtrics, and others.

WORKING CONDITIONS:

* Typical office environment with occasional physical requirements such as moving tables and chairs

* Typical workday hours with some flexibility needed for occasional evening or weekend events

* Occasional Saturday availability desirable (2-3 days per year and with advance notice)
