Job Title: AR&D Administrative Assistant

Classification: Hourly, Non-exempt

Reports to: Assistant Director of Alumnae Relations

Job Summary: Provide proactive and dedicated administrative support as part of the high-performing team in College's Alumnae Relations and Development Office (AR&D).

Position Type/Expected Work Hours: Monday-Friday, 8:30 a.m. to 5 p.m. with some evening/weekend hours.

Supervisory Responsibilities:

* Student workers, as assigned.

Essential Responsibilities:

* Provide administrative support for department-wide scheduling, meeting preparation and materials distribution, and identifying/tracking action items toward completion.

* Represent AR&D and the College conscientiously by answering the central departmental phone; ensure related messages are received by relevant staff within the department.

* Cordially greet and helpfully interact with visitors and staff.

* Assist with communications and outreach to internal and external audiences, including database updates and list pulls, email distribution, and coordinating mailings/mail merges and shipping.

* Process payment requests (travel reimbursements, invoices, etc.) in a timely and accurate manner.

* Support event management by taking RSVPs, preparing nametags, and coordinating setup and materials, and registration.

* Update and maintain departmental orientation guide to support and facilitate AR&D team member effectiveness.

* Manage availability and orders of essential office supplies.

* Competently interact with a culturally and ethnically diverse population of students, faculty, staff, trustees, and other internal and external constituencies.

* Work cooperatively with other campus departments.

* Perform other duties as assigned.

Work Environment: Indoor office and outdoors across campus in varying types of weather

Physical Demands: Able and willing to move small boxes and other office items up to 35 lbs. Will pick up and deliver materials throughout the campus.

Required Qualifications:

* Associates and/or Bachelor's degree

* One to three years of experience in a professional office environment preferred

* Commitment to collegiality and customer service

* Capacity to multi-task in a fast-paced environment

* Detail-oriented, strong work ethic and positive attitude

* Proficient in MS Word, Excel, PowerPoint and Google platforms and be able to work independently to merge documents, create labels and sort documents and spreadsheets.

* Database/data processing skills

* Experience in gift or payment processing

* Strong written and oral communication skills

* Excellent time management and interpersonal skills
