Job Overview The Macy's Stores Operation Center (MSOC) Administrative Team is focused on supporting communication across teams, supporting reports distribution, building and maintaining vendor relationships, workload simplification and organization, training, and managing systems access for the Regions' and Divisions' Facilities Teams. While a large portion of the workload will be common to all members of the team, certain Region-specific administrative needs will be included as well. MSOC is an integral part of the Store Environment Team, supporting all Macy's Inc. locations for facilities related needs, obtaining quick resolutions to all alarm, maintenance, and environmental issues within each store, including catastrophic emergencies, and business impacting events. This is a Flex work position with 3 days onsite at MSOC and 2 days remote during a typical work week. The MSOC Administrative Team will be scheduled to best support their assigned Region, Monday-Friday in the predominant time zone of the Region (East, Central, & West).
    East 8:00 a.m. - 5:00 p.m. Monday - Friday Central 8:00 a.m. - 5:00 p.m. Monday - Friday West 11:00 a.m. - 8:00 p.m. Monday - Friday What You Will Do MSOC is comprised of several teams and a significant portion of your role will be to interface with all those teams on behalf of the Facilities field leadership. The role also includes the below duties and responsibilities.
    • Support the Facilities Field Team on assigned administrative tasks.
    • Monitor and follow-up on priority issues as determined by Regional leadership.
    • Communicate effectively with vendors and update vendor assignments in the Computerized Maintenance Management System (CMMS).
    • Source 3rd party vendors for store services and repairs.
    • Obtain and submit quotes/proposals for services.
    • Manage supplies procurement and approvals for field teams.
    • Coordinate service status updates and troubleshooting for assigned region.
    • Assist in coaching and training users on the CMMS.
    • Prepare funding requests for submission.
    • Review reports and systems for pertinent data and oversee distribution.
    • Track and communicate key KPIs from reports.
    • Collect and assemble service updates.
    • Perform various Store Environment assignments and special projects as delegated.
    • Attend calls in conjunction with or on behalf of Facilities field leadership.
    • Coordinate with Facilities Team and stores for resolution and completion on store violations, including fire marshal, DEP, EPA and all other state and federal agencies.

      • Candidates with an Associate's degree or equivalent work experience in a related field are encouraged to apply.
      • Effective written and verbal communication skills; ability to draft reports and other communications; present to management and internal and external business partners; interpret technical documents such as safety rules, operating and maintenance instructions, and procedure manuals.
      • Ability to add, subtract, multiply, and divide all units of measure, using whole numbers, common fractions, and decimals; compute rate, ratio, and percent; draw and interpret bar graphs.
      • Ability to define problems, collect data, establish facts, and draw valid conclusions; interpret an extensive variety of technical instructions in mathematical and/or diagram form; solve problems with several abstract and concrete variables.
      • This position requires long hours sitting in front of a computer and answering phones with a headset. Skills You Will Need Technical Proficiency: Strong typing and computer skills, Microsoft Office (Teams, Outlook, Excel, Power BI, etc.) or equivalent, and familiarity with CMMS or other work order systems. Analytical Skills: Ability to read, write, and interpret instructional documents such as reports and procedure manuals. Communication: Excellent written and verbal communication skills. Ability to remain calm in emergency situations. Problem-Solving: Must be able to make sound decisions. Have ability to prioritize, multi-task, and exhibit a strong sense of urgency and excellent follow up skills. Reliability: Must be able to work independently with minimal supervision.
