TITLE: Central Office Administrative Secretary - Superintendent's Office
This position starts July 1, 2025.
QUALIFICATIONS:
High School Diploma; Associate or Bachelor's Degree preferred.
Demonstrated skills and experience in performing Executive Secretarial functions.
Demonstrated ability and knowledge of office software (Microsoft and Google) and other district software applications.
Required criminal history background check and proof of U.S. citizenship or legal resident alien status.
Must be able to work cooperatively with other staff.
JOB GOAL: To assist and relieve the Administrators in the Superintendent's office of paperwork and impediments so that maximum attention may be devoted to the improvements in education and educational administration.
DUTIES AND RESPONSIBILITIES:
1. Takes and transcribes dictation of various types, including correspondence, reports, notices, and recommendations.
2. Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form.
3. Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
4. Places and receives telephone calls, records messages for district blasts, and monitors the lock for the door for the administration office.
5. Orders and maintains supplies as needed and completes purchase orders/requisitions for purchases.
6. Performs bookkeeping tasks associated with the specific position.
7. Maintains a schedule of appointments and makes arrangements for conferences and interviews.
8. Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with predetermined policy.
9. Uses computer for word processing and maintenance of records.
10. Seeks resolution to complaints/inquiries from community and staff prior to referral to administrators.
11. Initiates/composes routine correspondence.
12. Assists in the clerical portions and development of the board of education agenda.
13. Other duties assigned by the Superintendent or Designee.
EMPLOYMENT: Twelve-Month Year.
REPORTS TO: Superintendent and Assistant Superintendent or designee
EVALUATION: Performance of this job will be evaluated annually in accordance with the provisions of the board's policies on evaluation of non-certificated staff.
