We are seeking a full-time Appointment Coordinator to be based at our corporate office near Oak Brook, IL. Candidate will have the ability to work remote. Training will be onsite at the corporate office. Responsibilities
  • Work with patients/physicians/callers in a polite and helpful manner to book appointments enter demographic data, insurance information and any other relevant information into the NextGen and Athena system. Reschedule patient appointments when necessary and relays messages to staff.
  • Follow up on patients who are missing necessary information.
  • Answer telephone, screens calls, takes messages, and provides information.
  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Supplement office staff when requested and is receptive to additional assignments/projects as delegated by supervisor.
  • Maintain a positive demeanor with patients, peers, supervisors and physicians, especially when receiving feedback or direction.
  • Assist staff members when necessary in a positive and professional manner to ensure the patients receive the utmost in care.
  • Perform work with accuracy to minimize error correction by other staff members.
  • Double check data entry to ensure the correct information has been entered into the NextGen and Athena system.
  • Organize and prioritizes work to make sure projects are completed in a timely and efficient manner.
  • Stay abreast of and complies with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
  • Adapt to change in positive and professional manner.
  • Any and all other duties as assigned.
Ability to:
  • Operate basic office equipment such as a computer, phone and fax machine.
  • Multi-task and work in a fast-paced environment.
  • Attention to detail.
  • Communicate effectively verbally and in writing.
  • Work and communicate with patients, physicians and staff in all levels of the organization.
Education and/or Experience
  • High school diploma or general education degree (GED)
  • Call center experience is a plus
  • Plus a minimum of one year work experience, preferably in a medical office setting.
