Job Summary:Coordinates daily operations of the reference desk and reference services in Archives & Special Collections of the University Libraries. Assist patrons in researching and retrieving archival records. Work with other university departments in determining copyright regulations. Essential Functions:
  • Reporting to the University Archivist & Head of Archives & Special Collections, manages the reference desk and reference services in Archives & Special Collections of University Libraries.
  • Answers reference inquiries from patrons including students, staff, faculty, and the general public and provides professional research assistance in-person and remote via mail, fax, e-mail, and website forms.
  • Fields reference requests and assigns to other staff as appropriate.
  • Monitors reading room and ensures security of collections and facility.
  • Pages materials, registers patrons, and enforces reading room rules and access policies and procedures.
  • Performs reference interview and assists patrons as needed.
  • Works with department to collect, tabulate, and maintain annual reference and use statistics.
  • Works with department and library staff to promote use of collection, especially through website and social media outlets.
  • Assists in training staff, student assistants, and interns/practicum students in relation to reference and research services.
  • Helps maintain stack areas.
  • Works with/trains other staff and student assistants on reference inquiries and research requests.
  • Works with Department Head, University Records Manager, and Office of General Counsel to answer public records requests and recommends and enforces restrictions of applicable records and redaction of information.
  • Monitors facility and reports issues to Department Head and Physical Facilities.
  • Photocopies and digitizes archival and manuscript materials in various formats as requested by patrons, in accordance with applicable laws and policies, and facilitates delivery.
  • Invoices patrons for photocopying, scanning, and reference services and collects and deposits payments for services rendered.
  • Works with processing archivists to revise and/or update inventories and finding aids as needed to facilitate access.
  • Manages rights and licensing for use of materials from the Archives.
  • Performs other duties as assigned.
Education: Requires a relevant Bachelors Degree.Licenses/Certifications/Requirements: None.Experience:Requires a minimum of two years experience in reference services preferably in an archival setting providing reference services. Ability to work independently and in a team environment required. Ability to manage multiple projects simultaneously while meeting deadlines in a fast-paced environment required. Excellent and efficient time management skills required. Excellent customer service experience required. Computer proficiency including familiarity with standard Microsoft software applications, online catalogs, and bibliographic utilities. Familiarity with basic scanning equipment and software required. Excellent verbal and written communication skills required. Strong attention to detail and proficient organizational skills required. Additional Position Information:Preferred QualificationsMaster's degree in history, English, or related discipline, with relevant coursework in archival science, or ALA-accredited MLS/MLIS, with archives concentration. Experience providing reference services in an academic library or archives setting. Certified Archivist designation. Experience in working effectively with students, faculty, staff, and the community. Demonstrated knowledge of current archival theory, practice, and standards. Knowledge of national, state, local, and university history.Leadership: Responsible for directing and monitoring the work of student and/or temporary workers.Physical Requirements:Moderate physical effort required involving long periods of standing, walking on rough surfaces, bending and/or stooping; periodic lifting of moderately heavy items (over 25 lbs. -- 50 lbs.).Working Conditions:No major sources of working conditions discomfort, standard working environment with possible minor inconveniences due to occasional noise, crowded working conditions, minor heating/cooling or ventilation problems, and/or up to 40% use of PC terminal.Compensation:This is a full-time union position with a salary grade 119.
