Position SummaryThe Area Operations Coordinator is responsible for creating and managing operational systems that support a designated group of Clubs. The specific duties will support the needs of the designated area and could include enhanced responsibilities in other operational functions such as program development, professional development, facilities management, safety and security, and/or other functions as directed by the Area Director. This position must embrace diversity, equity and inclusion (DEI) and carry out behaviors aligned with our mission and DEI statement. This position drives outcomes and efficiencies through implementation of systems and strategies primarily in the areas of: financial and grants management, human resources, and resource allocation and acquisition. The Area Operations Coordinator serves as a liaison and point of contact for organizational administrative teams and functions.The Area Operations Coordinator position has three levels (I, II, III). The levels are based on size, revenue, complexity of operations, and other factors.

Essential Functions: - Provide targeted operational support as directed based on the needs of the designated area and within the potential scope of multiple operational functions up to and including: membership management, licensing and compliance, financial, programming, professional development, facilities, and safety and security.
- Institute and guide the successful implementation of administrative and operational systems for the region
- Serve as key contact for all organizational administrative teams to include: finance, human resources, resource development, grants, marketing and communications, facilities, and IT
- Collaborate with other Operations Coordinators, seeking efficiencies through standardized strategies related to purchasing, planning, reporting, and other operational functions; provide training and troubleshooting within designated region
- Serve as the area lead for data systems including: MyClubHub, One Call, and others
- Provide oversight and support in tasks related to submission of Purchase of Care and other compliance-related information
- Partner with resource development to support fundraising and grant efforts; this includes ensuring the development and monitoring spending plans, outcome measurement, and reporting
- Develop and implement systems for inventory management and resource allocation throughout your assigned area in collaboration with other operations coordinators
- Manage facility rental requests, processes, and finances in partnership with Club Directors and Club administrative staff
- Work with Club Directors to coordinate the deployment of vehicles using logistics strategies that foster efficiencies and collaboration.
- Support supervisor in community partnership and board development efforts
- Drive systems to support the upkeep and maintenance of Club assets, these include technology, facilities, and vehicles.
- Ensure the timely and accurate submission of required reports; examples include NYOI, the annual reports, Club surveys.
- Support Human Resources processes for recruitment and onboarding as needed
- Partner with resource development to support fundraising and grant efforts; this includes ensuring the development and monitoring spending plans, outcome measurement, and reporting
- Develop and implement systems for inventory management and resource allocation throughout your assigned area in collaboration with other operations coordinators
- Manage facility rental requests, processes, and finances in partnership with Club Directors and Club administrative staff
- Work with Club Directors to coordinate the deployment of vehicles using logistics strategies that foster efficiencies and collaboration

- Working closely with Marketing and Communications Director to ensure consistency and brand standards for all marketing materials, flyers, email blasts, and social media efforts.
- Supports implementation of systems for the effective monitoring of budgets and financial procedures
- Provide oversight and support in tasks related to submission of Purchase of Care and other compliance-related information.
Qualifications and Educational Requirements: - Four-year degree from an accredited college in the field of human services and/or nonprofit business and human resource management, or related discipline preferred.
- Minimum of three (3) years of experience in management, administration and operation preferably at a Boys & Girls Club or other nonprofit organizations.
- Proficiency in MS Office, database systems, and related platforms
Environmental and Working Conditions:Environmental and working conditions vary from indoors to outdoors; various meeting locations in and out of the Club; occasional statewide travel (e.g. training). May include providing support or leadership at other locations when requested.
Physical and Mental Requirements: - Maintain a high energy level.
- Frequently lift, carry or otherwise move and position objects weighing up to 25 pounds when preparing rooms for activities.
- Typically bend, stoop, walk and sometimes run while interacting with children in various activities throughout the day.
- Ability to perform duties effectively under stressful conditions; ability to make decisions quickly and accurately with tact and impartiality.
- Ability to understand and follow verbal and written instructions and communicate effectively both verbally and in writing.
Work Hours: Monday -Friday - 9:00-5:30
