The Community Health Services Division of Public Health- Seattle & King County is seeking a Full-time Administrative Specialist III -Front Desk Lead to join our multidisciplinary, and diverse teams at Eastgate Public Health Center, in the delivery of health services to the County's most vulnerable people. Eastgate is one of our largest centers, where we provide family health, pediatrics, family planning, parent-child health, dental, teen clinic and health insurance enrollment services and ORCA Lift. We serve a diverse low-income population including people who are experiencing homelessness, recent immigrants and refugees, peoplewith complex health conditions, and people with limited English proficiency. We are Mission-Critical employees who are dedicated to showing up and providing the best care under any circumstances.This position supports a broad range of healthcare services in a fast-paced public health center environment that are used by economically, socially, and culturally diverse populations. The successful candidate must have excellent and reliable attendance, stellar customer service skills in-person and over the telephone (discretion, patience, etiquette professionalism), and must be an independent self-starter with excellent time management and organizational skills. The candidate must be able to work with supervisors and staff to develop and promote a team-centered atmosphere to facilitate operations which are efficient and provide maximum service delivery to clients. The successful candidate must have excellent and reliable attendance, stellar customer service skills and be an independent self-starter with excellent time management and organizational skills. Public Health relies on office automation (Microsoft 365) and other web-based tools. The candidate must be proficient and comfortable with computer use to perform the essential functions of this position. The candidate must be able to work with supervisors and staff to develop and promote a team-centered atmosphere to facilitate operations that are efficient and provide maximum service delivery to clients. The ASIII-Lead position is at Eastgate Public Health Center and will report to the Public Health Administrative Support Supervisor (PHASS).   • Plan, work organization, approve leaves, establish work methods, recommend change in workload, and procedures, participate in employee selection process, and provide input on the performance of co-workers.
  • Distribute workload amount other office employees, provide direction, training and monitor the quality and completion of the work.
  • Research and summarize specialized or technical information form varied sources. This may require selecting the most appropriate material and the use of spreadsheets and customized data base applications.
  • Perform lead admin coordination to support the clinic, assist the front desk admin staff in patient check-in/registration and appointment scheduling for the scheduling of new and established patients.
  • Responsible for creating and maintaining scheduling templates for all Family Health, Pediatrics, Sexual and Reproductive Health, Behavioral Health, Provider Preceptors, and float providers in Epic Practice Management System.
  • Individual duties may include composing, proofreading, editing, and copying documents and forms, creating agendas, creating spreadsheets; scheduling and supporting clinic meetings which includes taking of meeting minutes and may involve equipment set up and break down.
  • Participate with AS III Leads, Site Leadership, and Program Managers on process flow discussions and overall quality assessment processes regarding implementation of department-wide systems and procedures relative to approved protocol.
  • Provider stellar customer service, Great clients when they present at the front desk. Assist clients with information, directions, and other tasks within skillset.
  • Provide day-to-day assistance with administrative support to the clinic PHSS, PHASS, lead staff physician, and clinic providers.
  • Provide backup support when needed to other site Leads.
  • Train new front desk Administrative Support Staff, floats, to the full function of their position, agreed program specific initiatives, implementation of department wide systems and procedures relative to approved protocol and workflows.
  • Assist Supervisor (PHASS) in planning, assigning, organizing, scheduling, prioritizing and coordination of daily work assignments of the administrative support team.
  • Provide administrative support to multiple sections, evaluate, and manage competing demands, and ensure office needs are met; prioritize workload while meeting critical deadlines, pay close attention to detail and accuracy.
Experience, Qualifications, Knowledge, Skills Qualifications:
  • At least two years of medical office experience, preferably primary care clinic setting, within last five (5) years.
  • At least one (1 +) year of Supervisor or Lead experience, preferably in medical office setting, and within the past 3 years.
  • Functional Knowledge of medical terminology
  • Skilled at identifying when triage by healthcare staff is needed and identifying potential emergency situations early and respond accordingly.
  • Regular and reliable attendance.
  • Ability to provide a consistently high level of customer service with discretion, patience, and professionalism, based on accepted customer service principles and departmental standards.
  • Demonstrated ability to communicate with staff and clients in a pleasant, non-judgmental, respectful, and culturally sensitive manner under varying levels of stress.
  • Strong interpersonal, conflict resolution and problem-solving skills.
  • Proficient using Microsoft 365 and other web enabled tools.
  • Ability to work independently and maintain confidentiality.
  • Ability to interact with patients around potentially sensitive issues and/or volatile situations.
  • Skilled working in Electronic Practice Management systems that include health records, patient scheduling, and financial transactions.
  • Skilled at problem solving and troubleshooting.
  • Skilled at working both as part of a multi-disciplinary team and independently.
  • Skilled at organizing, prioritizing, multi-tasking and adapting to changes in workload demands.
  • Skilled at training staff on changes, and updates of department-wide guidelines and procedures.
  • Skilled at cash handling, including making change and reconciling a cash register.
  • Skilled in working under time constraints and meeting deadlines.

  • Demonstrated ability to prepare, format, proofread, and edit documents including correspondence, letters, policies, and reports; create and maintain electronic and hard copy documents and files, databases, and logs, and accurately enter and track data.
  • Involves independent judgment of complex and/or sensitive information.
  • Demonstrated ability to move up to 25 pounds to move boxes and replenish office supplies. This may involve intermittent lifting, standing stooping, bending, and reaching during the workday.
DESIRED QUALIFICATIONS
  • Demonstrated ability to provide a consistently high-level of customer service with discretion, patience, and professionalism, based on accepted customer service principles and departmental standards.
  • Experience with cash handling and reconciling end of day cash register receipts desired.
  • Experience using EPIC Electronic Practice Management systems regarding patient registration, patient scheduling, scheduling templates, and financial transactions.
  • Bilingual Spanish desired
