Job Description:

Position Title: ASSET COORDINATOR Location: CORPORATE-HOUSTON FLSA Class: EXEMPT Responsible to: DIRECTOR OF INTEGRATED SERVICES Position Summary: The Asset Coordinator is responsible for managing and coordinating all aspects of an organization's assets, including physical and digital resources. They ensure that assets are tracked, monitored, and maintained throughout their lifecycle. The Asset Coordinator works closely with various departments to facilitate efficient asset management practices and ensure compliance with organizational policies and procedures. Essential Duties and Responsibilities:

  • Assign GPS tracking devices, i.e., SAMSARA or Geo-Force, to all new assets and ensure they are correctly installed.
  • Record asset number and description into the GPS tracking system with the proper assigned serial number.
  • Maintain adequate GPS devices for all upcoming new assets.
  • File and store all invoices and purchase order approvals in the manufacturer's folder for record keeping.
  • Ensure that all new incoming assets are scheduled for wrapping promptly.
  • Submit all invoices for purchase order approvals and provide the vendors/manufacturers with the approval upon receiving them.
  • Ensure that all new asset decal numbers are ordered following VoltaGrid specifications.
  • Ensure all documents are received on new equipment before providing asset numbers.
  • Coordinate and assist the Asset Manager with all new and upcoming new assets.
  • Coordinate and assist the Asset Manager on all vendors and upcoming projects.
  • Coordinate with the Transportation Department for all equipment movement requests.
  • Coordinate with the Integrated Services Department regarding future deployments and provide asset updates.
  • Scan and log all-new title documents provided by the Manufacturer on trailers before providing the original forms to the DOT Compliance Department.
  • Scan and inventory all new titles received from the Harris County Tax Office and file them in the safe.
  • Maintain an updated inventory list of all assets assigned to a fleet or facility.
  • Coordinate with Accounts Payable on all company assets.
  • Ensure that all assigned tasks are closed out upon completion in the Task Planner.
  • Ensure that all new company pick-up trucks are logged properly in the Excel file after inventorying it in the company asset management database.
  • Coordinate with the DOT Compliance Department weekly regarding all Tax Office Registration Receipts on new assets that have been registered.
  • Coordinate with all departments and provide any updated information on new assets, assigned asset numbers, descriptions, etc.
  • Coordinate with all new vendors and assist in setting up a new account with accounts payable.
  • Provide the insurance company with an updated list of all company assets quarterly and file the new certificate of liability insurance in the folder.
  • Ensure that all Master Service Agreements are current and that any upcoming renewals are processed and resubmitted a month before expiration.
  • Participate in weekly team meetings and provide feedback.
  • Provide monthly reports on all new assets received.
  • Coordinate with the facility managers biweekly to review upcoming fixed and current facility assets inventory.
  • Maintain inventories of materials or products in facilities.
  • Ensure that all incoming orders have been filled correctly and meet company specifications.
  • Assist Asset Manager with tenant file reviews for onsite and facility visits.
  • Identify, prioritize, and follow up on problems/issues with projects and assist asset manager in problem resolution.
  • Assist in extracting, organizing, and analyzing data sets and tracking trends that help provide business insights to asset managers and other team members.
  • General administrative duties include creating reports, spreadsheets, and document reviews.
Other Requirements:
  • Bachelor's degree in business administration, supply chain management, or a related field (or equivalent work experience).
  • Previous experience in asset management, inventory control, or related roles.
  • Strong organizational skills with keen attention to detail.
  • Proficient in using asset management software or tools.
  • Knowledge of procurement processes and vendor management.
  • Excellent communication and interpersonal skills.
  • Analytical mindset with the ability to identify process gaps and suggest improvements.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Able to lift 25 pounds.
  • Valid Driver's License.
