About the RoleThe position of Assistant Business Manager - Projects at St Francis Xavier College will provide primary support to the Business Manager with Business Administration functions including Building Projects.The Assistant Business Manager is accountable to the Principal, and directly supervised by the Business Manager. A close working relationship is also vital with all members of the College Executive, faculty leadership team, and Catholic Education Canberra and Goulburn (Finance and People & Culture teams).The Assistant Business Manager will also have highly developed organisational skills to balance the demands of a multi-tasking position with extraordinary attention to detail and follow through to meet deadlines and commitments.Benefits and Opportunities

Key ResponsibilitiesProject Planning, Management, Budget and Compliance and Risk Assistance, including:
- Assist with development detailed project plans, including scope, timelines, budget, and resource requirements.
- Collaborate with stakeholders under the direction of the Business Manager to define project objectives and deliverables.
- Assist with feasibility studies, risk assessments, and cost-benefit analyses for proposed projects.
- Supervising aspects of construction, renovation, and facility upgrade projects.
- Coordinating with architects, engineers, contractors, and suppliers to ensure the quality and timeliness of work.
Facilities Maintenance Coordination:
- Develop and manage facility maintenance schedules for ongoing upkeep.
- Oversee preventive maintenance programs and ensure facility systems (HVAC, electrical, plumbing, etc.) are fully operational.
Financial Administration:
- Assist the Business Manager and Enrolments in the preparation of annual Government census declarations and student attendance reports.
- Assist the Business Manager with the preparation of the annual budget.
- Prepare monthly and quarterly budget tracking reports for Business Manager review.
- Assist the Business Manager with faculty budgets and produce expenditure reports for Co-ordinators quarterly.
General Business Administration Oversight:
- Workplace Health and Safety: Assist the Business Manager who is Chair of the College Workplace Health and Safety Committee, by processing of incident reports, and maintenance of WHS, incident, Hazards and Risk register(s). This includes the maintenance of associated College policies, procedures and compliance controls, and reporting. Produce monthly (Executive), quarterly (Board), and annual (CE) WHS reports.
- Event Management: Be the Support Staff point of contact with the College Executive event sponsor, and coordinate support to such College, cross- functional, and cross-faculty events and functions, including rostering of support staff where required.
Qualifications
- Working With Vulnerable People (WWVP) Registration in the ACT.
- A minimum of a Diploma or Certificate IV in accounting, book-keeping or related discipline, or advanced study towards such a qualification is required.
Selection Criteria
A passion and aptitude for information precision and attention to detail.Be adept with digital technology, and an experienced user with Microsoft Windows and Office software suites.The ability to prioritise tasks, manage time, plan, and organise one's own work to ensure deadlines are adhered to and the College's educational needs are fulfilled. The ability to exercise sound judgement, decision making, and engage with a diverse range of stakeholders to build productive working relationships.Highly professional manner and strong interpersonal skills with a courteous, calm, and welcoming demeanour with the demonstrable ability to positively engage with a diverse range of stakeholders and build productive working relationshipsWork cooperatively within a team environment and to also be self-directed and work autonomously without supervision.Demonstrable experience in business administration and project management, and highly competent in the use of current and new systems in accounting, projects and finance. Demonstrable experience in the supervision of quality management systems, document and records management, workplace health and safety, and risk management.
