Job DescriptionPURPOSE OF POSITION:Under the direct supervision of the Coordinating Manager, assists and provides administrative support to the Director of Nursing, and as needed to Amb Care Leadership.Responsibilities:Under general supervision, with some latitude for independent initiative and judgment, performs the following functions:•Maintains log of employees' call-outs/absences . Disseminates information to appropriate personnel in a timely manner to ensure proper clinic coverage. •Serves as timekeeper for the department. Processes timesheets and submits to payroll. •Maintains calendar for Director of Nursing, and as needed to the Leadership Team.•Prepares and schedules counseling for the department as requested.•Manages telephone inquiries and channel to appropriate services.•Coordinates nursing meetings within the department, and/or with other departments.•Make all necessary meetings preparations.•Take and distribute minutes of meetings.•Prepares correspondence and memorandums for Nursing as needed.•Disseminates ACS information to Sr. Staff in a timely manner via email or inter-office mail.•Prioritizes and distribute mail to all directors/managers of Ambulatory Care Services.•Maintains filing for the department.•Maintains integrity of all files and records kept by the department ensuring that they are available only to staff and others authorized to access them.•Maintains office supplies and order supplies for administrative office as needed.•Schedules repairs of office equipment as needed.•Prepares and handle travel arrangements when necessary.•Performs other special projects as required by the Coordinating Manager.•Attends training for continued skills-enhancement, when necessary.•Promotes a positive and pleasant attitude conducive to the workplace which enhances and furthers the Mission, Vision and Value Statement of the Organization.
Minimum Qualifications1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,2.
