Supervision Received: The Assistant Director will report directly to the Director of Environmental Services. The Assistant Director may also receive direction and/or assignments from the Associate Vice President of Facilities and Capital Planning.

Supervision Exercised: The Assistant Director is responsible for supervision of Environmental Services staff as assigned by the Facilities Directors and may provide supervision to all shifts in Environmental Services, and other Facilities staff as needed.

Salary: $68,500 to $73,500 Annually (salary commensurate with education and experience)

General Statement of Duties:

The Assistant Director supervises Environmental Services staff as assigned; assesses and responds to emergency situations on campus and determines the need to call in additional help, when necessary; may oversee the supervision of all shifts Environmental Services employees as needed and/or as designated; and at the discretion of the Director of Facilities & Operations, the Assistant Director calls in Trades personnel for emergency situations. The Assistant Director schedules Environmental Services staff to maintain the cleanliness of the campus on a daily basis; manages special projects as assigned by the Environmental Services Director; maintains department records such as attendance, time off requests, daily assignment logs, and other pertinent records to document operations; gives recommendations to Environmental Services Director on improvements in operations, equipment, purchases. In addition, manages the Environmental Services snow team. Coordinates with Facilities Director on all weather-related activities. At certain times of the year the hours of this position may change in order to meet the needs of the University.

Duties and Responsibilities:

Duties include but not limited to:

Essential:

* Oversees and follows the guidelines of the Quality Control (Q.C.) program as outlined in department guidelines by conducting random and scheduled inspections of each building and downloading results to help identify areas needing improvement, as measured by actual outcomes to compare to minimum, goal, and benchmark cleaning quality.

* Schedules employee re-trainings based on established guidelines set forth by department manager. Maintains files of training completion and reports results.

* Identifies when employees need counseling/disciplinary action based on maintained documentation from the Q.C. program, attendance, and personnel files. Consults with department managers prior to conducting disciplinary action.

* Conducts equipment maintenance inspections of all equipment on an established basis and maintains records on computer database. Identifies and recommends the purchase of replacement equipment based on repair expense history and useful life.

* Ensures that all established cleaning schedules on first and second shifts, and other shift schedules as designated, are followed by conducting building tours and sampling work in progress from each employee. Makes recommendations to department Directors on adjustments or modifications for efficiency and quality improvements to allow better productivity.

* Conducts evaluations of the Maintainer I, II, and III positions in consultation and coordination with the department Directors and the appropriate Maintainer III/Maintenance Working Foreman for input prior to conducting evaluations.

* Manages the Environmental Services snow team. Coordinates all weather-related activities with the Director of Facilities.

* Participates in the ongoing training efforts of the department to communicate the Recycling Program to staff, students, faculty, and other University members as measured and compared by the overall ratio of recycling /solid waste tonnage reports and other methods.

* Supports the ongoing efforts to automate the cleaning operations by ensuring this type of equipment is utilized daily based on high-quality appearance of wide area flooring across campus buildings.

* Helps co-ordinate summer clean-up activities of both academic and residential halls by working with each Maintainer III/ Maintenance Working Foreman to develop individual plans for completing work by established deadlines. Coordinates first and second shift staff, and other shift staff as designated, with assignments in residence halls to accelerate cleaning efforts based on timeframes established for conferences and events, as evidenced by lack of delays based on cleaning activities in each building.

* Responsible for handling all first and second shift, and other shift staff as designated, emergency situations while on duty pertaining to Environmental Services and Trades related services. Maintains and updates emergency overtime call-in rotation lists.

* Responsible for all first and second shift, and other shift staff as designated, Event Management meeting and conference set-ups requested through EMS reports, work orders, and verbal requests on a daily basis.

* Participates and aids the department Directors in staffing efficiency efforts for the continuous improvement of maintaining efficiencies within the department.

* Provides the department Directors with weekly reports outlining main accomplishments for each week and upcoming planned events for the week following.

* Helps monitor and ensure that permanent and temporary help used within the department are properly trained and working as scheduled, to help with building preparation and clean-up efforts to prepare for summer conferences and school openings.

* Provides department Directors with written recommendations for building improvements and repairs based on age, physical condition, and repair history in all buildings.

* Reports any and all pertinent information to the department Directors on a daily basis. Prepares reports and inspections as requested.

* Shares the On-Call management of employees in conjunction with department managers to ensure adequate maintainer response on a 24/7 basis, or whenever there is a need to address after-hours issues/emergencies on campus.

* When directed, oversees the supervision of all shifts (or portions of the shift) in conjunction with the other supervisors and/or the Maintainer III on the shift, ensuring department is maintaining high standards in related buildings.

* Assists in the hiring and disciplining process when appropriate.

* The work assigned to this position may require a change in shift as assigned by the Director of Environmental Services or the Director of Facilities & Operations.

* Performs other management, inspection, and facility related duties at the direction of the Director Environmental Services.

* This position is identified as essential (employee).

* Lifting more than 50 pounds.

Requirements:

Required Qualifications:

* Experience using Microsoft Office Suite, including Word, Excel, and Access.

* Minimum of five years' experience working in a Facilities-related management (or equivalent) position in a large institution, or a Bachelor's Degree with at least two years' experience in Facilities Management or related field.
