Position Vacancy Announcement

We are excited to announce the acceptance of qualified applications for the position of Assistant Director, Human Resources. We are looking for a skilled, personable, and adaptable leader to join the Office of Human Resources leadership team. This position will supervise Employee Relations and Records Management and will report directly to the Assistant Vice President for Human Resources. The Assistant Director will manage two direct reports: an HR Generalist and an HR Coordinator.

Responsibilities

Key responsibilities include:

Establishes and maintains effective working relationships with employees and supervisors at all levels of the organization. This involves communicating with employees and supervisors regarding organizational and job performance concerns and provide guidance and recommendations for issue resolution.

Prepares staff discipline notices, attending discipline meetings, and drafting discipline decision letters, which include separation notices and related documentation. The Assistant Director will present facts and recommendations both verbally and in writing while maintaining strict confidentiality and ensuring accurate records of employee relations cases, including the outcomes of internal findings.

Overseees the University Support Personnel System (USPS) and Administrative Professional (A&P) performance evaluations for supervisors and employees. This includes ensuring timely preparation of monthly reports detailing the USPS probationary evaluations that are due, submitting necessary correspondence to supervisors (such as electronic reviews), preparing non-compliance notifications, and analyzing and reporting metrics to the supervisor regarding completion rates during evaluation rating cycles. Additionally, the Assistant Director will notify the Time and Attendance Unit to assign personal holidays for USPS employees who complete their probationary periods.

Develops and conducts training courses on performance management-related topics throughout the organization.

Oversees the university's drug-testing program and collaborates closely with the FMLA,Workers' Compensation Administrator, or other offices when applicable.

Ensures the human resources components of the employee tuition waiver and reimbursement programs are processed and communicated promptly.

Oversees and partners with the Office of the General Counsel to respond to public records request in a timely manner. Ensures file room locations are organized and documents processed accordingly.

Provides leadership and coaching to immediate direct reports. The Assistant Director will inform the team of all relevant university regulations and internal operating procedures, ensure access to related documents, assess and document the team's compliance with these regulations and procedures, and implement accountability measures for compliance. Regular performance evaluations will be conducted and documented for each direct report in accordance with university regulations and internal operating procedures.

Ensures compliance with university regulations, policies, and procedures, along with federal and state laws. This involves assessing current organizational regulations and policies for their applicability and relevance, ensuring that HR-related regulations and policies remain current, and assisting in the development, revision, and implementation of these regulations, policies, and procedures. The Assistant Director will also maintain awareness of legislative changes that may impact HR business processes in related areas.

Performs other duties as assigned by the immediate supervisor or designee.

Minimum Qualifications

Bachelor's degree in appropriate area of specialization and four years of human resources related experience; or master's degree and two years related human resources experience.

Recommended Competencies

Ability to develop, mentor, and supervise employees;

Four years of supervisory and working experience in employee relations;

Documented experience handling minor and complex employee relations (both disciplinary and non-disciplinary employment) actions to include conflict management and/or resolution experience;

Working knowledge of HRIS systems (Specifically Workday and PeopleSoft);

Ability to maintain high level of confidentiality;

Ability to communicate effectively, verbally and in writing;

Knowledge of principles, practices, and standards of human resource administration;

Ability to identify trends, predict impact of actions on system operations;

Ability to strategically plan and serve as a catalyst for organizational change;

Cultivate a shared vision and motivate others to transfer vision into action; and

Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.

Pay Plan

This is an Administrative and Professional (A&P) position.
