Job Description
The Assistant Director of Civic Engagement will be a vital part of the Mays Center for Experiential Learning & Community Engagement team by planning, developing, and implementing civic engagement and community service programming, including large-scale days of service, civic engagement initiatives, voter education and registration efforts, and the campus food pantry. This role also involves collaborating with local nonprofits, governmental agencies, and community partners to create meaningful service opportunities and partnerships that align with student learning outcomes and community needs. The Assistant Director will be responsible for tracking and assessing the impact of student engagement on the local community through quantitative and qualitative data collection, analyzing this data, and providing detailed reports for university stakeholders, grants, and external partners. Furthermore, the Assistant Director will play a key role in shaping the strategic vision of the Mays Center by aligning civic engagement efforts with the university's mission and goals, while cultivating a campus culture deeply rooted in service, civic responsibility, and community involvement.
Responsibilities:
* Supervises student staff leading civic engagement initiatives, including large days of service, volunteerism, alternative breaks, marches, food pantry operations, civic engagement, voter registration drives, and related activities.
* Serves as primary point of contact and manages the campus food pantry program in collaboration with a team of students and volunteers.
* Oversees operations, utilizing PantrySoft for timely reporting on store usage, ensuring compliance with campus leadership and agency partners (e.g., San Antonio Food Bank).
* Develops and manages yearly budget to support programming and pantry inventory forecasting.
* Contributes to the development of strategic plans, both short-term and long-term, based on departmental objectives.
* Develops, implements, coordinates, and evaluates programs while ensuring compliance with all University, departmental, and government standards, policies, and procedures.
* Stays up to date and implements national best practices in volunteerism and civic engagement to maximize efficiency across all areas of responsibility, including developing departmental processes, training, and regular updates.
* Ensures compliance with A&M-SA policies and procedures for all service-related opportunities and expenditures.
* Oversees the documentation of the development, planning, implementation, assessment, and fiscal management of the Center's civic and community engagement programs.
* Maintains organized electronic records and produces comprehensive post-program evaluations.
* Collaborates with Employer Relations, faculty, and staff to develop, strengthen, and maintain relationships with community partners.
* Assists the Director in tracking community engagement metrics.
* Leads alternative break programs (both domestic and international) by managing budgeting, risk assessment, planning, preparation, execution, and assessment of service trips.
* Oversees the use of GivePulse, providing education and training to students, faculty, and staff on the platform.
* Oversees campus participation in the President's Volunteer Service Awards Recognition program and other recognition programs for students engaged in community service and civic engagement.
* Leads A&M-SA community volunteers in connecting their service efforts to career competencies through group reflections and workshops.
* Manages aspects of service event coordination, including levering student team for support in booking spaces, coordinating with vendors, project management, event promotion, attendance tracking, and collecting and analyzing attendee feedback.
* Provides day-of event support, including registration, setup/breakdown, catering, media services, facilities, rentals, and guest reception.
* Designs, executes, and oversees initiatives to enhance student, staff, and faculty engagement in service and civic activities, including creating training materials, programming, and presentations.
* Reviews and submits monthly purchase card reconciliation for civic engagement area.
* Serves on the management team with the Director, representing the department, division, or University on various committees and associations.
* Plans and manages the budget for the respective and assists the Director in overall department budgeting and planning.
* Participates in directing and coordinating operational or procedural activities to achieve departmental goals.
* Prepares reports, analyses, and surveys as requested by the Director.
* Handles special projects as assigned by the Director.
Required Education and Experience:
* Bachelor's degree in related field.
* Six years of related experience in higher education or non-profit management.
Preferred Education and Experience:
* Master's degree in a related field.
* Five years of progressively responsible administration experience.
* Three years of volunteer management experience.
* Previous budget management experience.
Knowledge, Skills and Abilities:
* Knowledge of word processing, spreadsheet, database, and presentation applications.
* Ability to multitask and work cooperatively with others.
* Interpersonal and communication skills.
* Planning and organization skills.
