Provides the leadership necessary to achieve the efficient and effective operation, maintenance, and use of all AHA/FSA facilities. The Assistant Director for AHA/FSA has responsibility for construction and renovations to existing AHA facilities, as assigned by the Director of Facilities. Major Responsibilities
- Participates and ensures that Residence Hall achieves annual Certificate of Compliance; participates in annual fire inspections set by the NYS office of Fire Prevention and Control.
- Oversees the Residence Hall Fire Safety responsibilities including conducting fire drills, monthly and annual inspection of fire alarms. (in conjunction with the Public Safety department) and extinguishers and fire code compliance, coordinating with the local Fire Departments, NYS Office of Fire Prevention and Control, and local Ambulance and EMT.
- Ensure buildings CCURE access systems is operational and in working order,
- Oversees Residence Hall fire alarm, sprinkler, elevators, door access and sewer pump systems to ensure all building infrastructure is operational and compliance with local municipality codes.
- Enforces established worker safety and environmental protection programs. Ensures staff in the Facilities area have appropriate certification and training in legislatively mandated programs in the handling of hazardous or toxic chemicals, waste, and disposal of same.
- Enforces federal/state/ local regulations governing environmental protection, hazardous waste disposal and the use of chemical substances and materials
- Responsibility for managing the Residence Hall's established waste management and recycling program and meeting identified building sustainability initiatives.
- Responsible for creating efficient energy management processes that decrease cost and waste while maintaining a comfortable living environment..
- Recommends, inspects and evaluates the work of building services crews and independent contractors; keeps appropriate records, submits timely reports and takes appropriate actions when necessary.
- Provide planning, cost estimating and scheduling of in-house construction, installation, renovation, furniture replacement and maintenance and repair projects
- Responsible for daily operations of the Cleaning and Maintenance department functions including providing planning, coordination and supervision for all Maintenance departments activities and personnel (skilled and unskilled).
- Budgetary authority includes responsibility for submitting purchase order requests for materials necessary to complete assigned work. Prepares specifications for equipment purchases and repair projects. Prepares budget estimates for department activities. Audits repair and maintenance bills and contracts.
- Is responsible for control over AHA-issued departmental equipment.
- Coordinates the maintenance and custodial operations for all special events in Residence Hall.
- Overall responsibility hiring, training, coaching and mentoring department personnel.
- Plans and approves expenditures.
- Coordinate the purchase process through solicitation of quotes and bids from specific vendors and salesmen.
- Creates technical specifications for lease or purchase of materials, equipment and services required to maintain, upgrade and expand the Residence hall facilities such as the structural, electrical, mechanical, plumbing and sewer system systems
- Ensure compliance with applicable local, state and federal laws, rules, regulations, policies and procedures, i.e. ADA - handicapped access, OSHA regulations etc.
- Responsible for the overall management of the Residence hall physical plant infrastructure and including preventative and deferred maintenance planning.
- Must be available for emergency call in and/or dissemination of staff for facilities emergency reasonable
Required Skills Experience as a general contractor involving a full range of construction work including electrical and plumbing experience, at least two years of which must have included supervision of workers engaged in construction, repair or maintenance of large commercial buildings. Experience in building maintenance and repair involving a large building or complex with full responsibility for all construction, maintenance and repair activities, at least two years of which must have included supervisory planning and coordinating duties; or any equivalent combination of experience as defined above. Educational Requirements An Associate's degree in business administration or related is preferred. Years of Experience5 - 7 years of experience related to facilities management (educational building experience preferred), two years of which must have included supervisory duties and planning and coordination of work.Working Conditions and Physical RequirementsTypical facilities management environment. Majority of work is performed at a desk, daily use of computer and telephone, good hand and eye coordination, occasional travel between facility locations or travel for conferences.
