SUMMARY/OBJECTIVE
The Assistant Director of Finance is responsible for managing the day-to-day financial operations of the hotel, ensuring the accuracy of financial reporting, and supporting the Director of Finance in strategic decision-making. This role oversees a team of two on-site accounting staff and collaborates with an overseas accounting team to streamline processes, maintain compliance, and drive efficiency across financial functions.
ESSENTIAL JOB FUNCTIONS
Responsibilities and essential job functions include but are not limited to the following:
* Financial Reporting & Analysis:
* Deliver Accurate and Timely Financial Reporting: Provide detailed financial reports to support strategic planning and operational decision-making by management.
* Manage Month-End and Year-End Closures: Oversee all closing activities, including balance sheet reconciliations, profit and loss statements, and variance analyses.
* Prepare and Distribute Financial Information: Ensure accurate preparation of monthly financial statements, annual budgets, short-term forecasts, and required internal and external financial reports.
* Generate Labor and Payroll Reports: Prepare and distribute labor and payroll reports for all hotel department managers.
* Team Leadership & Development:
* Supervise, mentor, and develop two on-site accounting staff members, providing guidance on financial best practices and career development.
* Collaborate closely with the overseas accounting team to ensure consistent processes and maintain high standards of accuracy.
* Manage and Support Payroll Processing: Oversee the payroll process and provide assistance as needed.
* Budgeting & Forecasting:
* Budget and Forecast Preparation: Assist in creating and managing budgets, forecasts, and financial models to support hotel financial goals.
* Variance Monitoring: Track budget variances, working with department heads to understand and address discrepancies.
* Cash Flow & Working Capital Management:
* Accounts Payable and Receivable Oversight: Manage billing, collections, and payment processes, ensuring accuracy and efficiency.
* Internal Controls & Compliance:
* Internal Controls: Maintain and enhance controls to ensure compliance with financial regulations and company policies.
* Audit Support: Prepare required documentation and respond to audit findings as needed.
* Collaboration & Cross-Functional Support:
* Finance Liaison: Serve as a key point of contact between the finance team, hotel management, and the overseas accounting team to align financial goals and maintain clear communication.
* Departmental Financial Support: Provide financial insights and support to various departments, including Rooms, F&B, Sales, Engineering, etc.

Education and Experience Requirements:
* Bachelor's degree in Accounting, Finance, or a related field.
* At least 5 years of finance experience, including a minimum of 3 years in a hotel setting.
* Proven experience in team management, with strong leadership and communication capabilities.
* Familiarity with financial systems (e.g., Stay N Touch, SUN Systems, M3) is preferred.
* Ability to collaborate effectively with overseas teams in different time zones.
* Strong analytical, detail-oriented, and problem-solving skills.
