The Home Care Assistant Director assists the Director of Home Care with the daily management, coordination and documentation of the Home Care Field Supervisors; the Home Care Aides, the services provided to Home Care clients; the maintenance of all documentation required by SAILS Washington, DOH and AAA contracts, our contracts with the counties, and private pay clients; and is responsible for activities required for the promotion of SAILS Washington and Home Care Services in compliance with agency philosophy, policies and procedures, and in accordance with State licensing laws and regulations.

Qualifications:

  • Must be at least 21 years of age.
  • Some college education and/or in the field experience.Bachelors Degree in a related field is preferred.
  • Must have a minimum of three years supervisory experience in social work, child care, and/or support staff industry providing direct services to the elderly and or children/adults with developmental disabilities.
  • Must possess or have the ability to obtain an HCA or CNA certification within appropriate time frames.
  • Ability to communicate effectively with clients, families, home staff, and administrative staff.
  • Demonstrates self-motivation, self-direction, organizational skills, flexibility and the ability to deal with a high level of stress and manage deadlines.
  • A valid Washington State Driver License.
  • Current private auto liability insurance and ability to submit written verification of the same
  • Must have an approved fingerprint and criminal clearance prior to starting.
  • Ability to express ideas clearly and concisely, orally, and in writing in English
Essential Duties, Responsibilities, Supervisory Functions:Have an in-depth understanding of the requirements for providing Home Care services, the Statement of Work, as well as Department of Health (DOH) requirements. With assistance and guidance from the Director of Home Care, the Assistant Director:
  • Ensures compliance with contractual requirements and agreements.
  • Oversees day-to-day operations of home care services.
  • Will review Compliance and Training trackers regularly.
  • Ensure staff and client schedules are implemented. Follow up with Supervisors and HCAs as needed for revision, retraining, or corrective action.
  • Will ensure that employee timesheet/task-sheets are submitted accurately and promptly.
  • Will track, manage, and approve overtime hours.

Implementation of Policies and Program Criteria

  • Ensure quality of services are delivered while in compliance with regulatory requirements.
  • Will assist in responding to surveys, investigations, and audits (survey deficiencies, APS or CPS inquiries, etc.).
  • Will ensure policies and procedures are being adhered to.
  • Assists with and oversees incident reports for both internal and external agencies.
  • Will ensure client files and PCSPs are complete and in compliance.
  • Will initiate and present to the Director any changes needed regarding home care client paperwork, files, financial agreement packets, etc.

New Client Onboarding

  • With assistance from the Director, review referrals with supervisors.
  • Meet with supervisors regarding their assigned referrals.
  • Follow-up with supervisors on referral status and start of service dates.
Hiring, Onboarding, and Orientation
  • Will meet weekly with the Director to assess recruitment needs and update acquisitions.
  • With assistance from the Director, develop strategies for caregiver retention and ensure implementation by supervisors.
  • Will communicate staffing needs to the Director.
  • Orient HCAs to client assessments or delegate orientations to the appropriate supervisor.

Staff Training

  • Will be certified to provide orientation to new hires locally.
  • Train the trainer for HCA in person classes
  • CPR trainer
  • Other trainings as assigned
Communication with Team
  • Will develop professional working relationships with clients, families, DSHS Case Managers (DDA/HCS), county AAAs, DOH and other service providers.
  • Will attend weekly Home Care team meetings and schedule additional meetings as needed.
Customer Service & Troubleshooting With direction of the Director, the Assistant Director will:
  • Respond to requests or complaints by employees, client and/or family/guardian of client to ensure full resolution.
  • Will determine the need for drop-in home visits based on concern, complaint or client safety.
Create Growth Within County
  • With assistance from the Director, will focus on developing growth goals for the region and supervisors of the area
Continuing Ed and Participation in Provider Meetings
  • Will seek out and attend community Home Care/Long-Term Care fairs, conferences and trainings for networking, educational and marketing purposes.
  • Will attend related seminars and training and review updated literature to keep current with the developments in the field.
  • Will attend meetings including AAA provider meetings and participate in the quarterly state- wide Statement of Work workgroup and the Home Care Coalition group meeting.
COUNTY AUDITS
  • Maintain files and documentation to meet audit, agency, AAA, DDA, DOH, and other compliance standards
  • Aide in preparation of county audits.
  • With assistance from the Director, presents data and program during audits
Lines of Supervision:
  • Will directly supervise the Program Supervisors. Will delegate appropriate responsibilities to the Field Supervisors and follow up to ensure they are properly completed.
  • Will report directly to the Director for all financial, management or client issues and matters relating to DSHS (DDA/HCS) as well as intake and discharge of clients.
Environmental parameters:
  • Ability to work in an office environment
  • Ability to travel to clients residences to conduct home visits and direct care
Physical Demands:
  • Sedentary work ability to perform administrative duties, typing, filing, bending over to low files, reaching high files.
  • Work involves sitting most of the time, but may involve walking and standing and driving for extended periods of time.
  • Must be physically and mentally capable of caring for an individual who is ill, infirm, disabled or vulnerable.
Work Schedule:Ability to work 40 hours a week and additional hours if required. This position may require that you fulfill direct care shifts and maintain a client caseload until the proper structure is hired in around you.
